Moving forward - Immediate future:

Our dates are now set. March 26 - 31.

We do have the customary one-month Call For Comments, which so far has
garnered none, but lacking some kind of a major surprise, our dates are
in ink and we can proceed with further planning.

Our next duty on our yearly schedule is the selection of the suggested
hotels for the coming event. Over the past decade or so, we've always
announced these in late November or early December, in order to let our
attendees to make advance plans and reservations. We want to do this at
about the same time this year, which appears to work well.

This year we have two lodging sub-topics on the plate, either/both of
which will require volunteers (that includes you) :) to step forward
if they are to happen.

First is the topic of special rates at the Flamingo or at most any other
hotel within reason. As has been noted, Beverly will not be doing this
for 2017, and if it is to happen, someone else will need to volunteer.

If anyone is interested in coordinating this, to be effective it will
need to be done prior to the announcement of our suggested hotels in
late November or early December. The clock is ticking! :) If you are
interested in taking this on, now is the time to speak!

We can get you contact info at the Flamingo if you are interested.

Second is the possible use of AirBnB (or similar services) in lieu of
the usual hotels for those attendees who would prefer such. AirBnB has
worked quite well for some Pinkfest attendees over the past few years
and no issues have been reported. Many facilities are listed by AirBnB
in Las Vegas and several of these are of the size that's conducive to
sharing.

If anyone is interested in coordinating some kind of an AirBnB sharing
arrangement, please speak up. This is pretty much new and uncharted
territory for DLV. We did have a volunteer offer to coordinate AirBnB
sharing for Pinkfest, but no meaningful responses to such offers were
received, as the Pinkfest attendees appear to want to book their own
lodging, whether AirBnB or the usual hotels. We're all ears if someone
wants to try something like this.

Now is also the time to make or propose any changes of any significance
that we want to consider regarding our program.

We want to get anything along these lines on the floor and settled while
we have the "bandwidth" to do so, before we get all wound up in the
programming and scheduling.

If there are any further discussion or action items regarding the topic
of age, please bring these forward at this time.

A related topic was that of other "underserved" groups, such as SOs and
overseas attendees. If we're going to be focusing on these or any other
groups, we need to get going before it's too late in the cycle to do
anything.

If there's anything else that anyone is not happy about, now is the time
to bring it up. If there's anything that you believe is wrong, now is
the time to deal with it, and this is the appropriate group to deal with
it.

refuse) your "first refusal rights" to coordinate again in 2017.

BB update:

On Wed. Sept. 14th. I visited Bahama Breeze to discuss making DLV2017
reservations.

The Manager, Dan was called offsite so I met with Momi, the Events
Director.

We reserved Monday, March 27, 2017 for Dinner in the Gazebo, bar & patio
areas.

We are good-to-go without signing any contract for that evening.

Our reservation includes No deposits required, ordering from the regular
menu, separate checks per individual and exclusive use of that area for
an estimated 150 people.

The Gazebo area is reserved for our small group of (12)coordinators
beginning @ 4 pm.

All areas are available beginning @ 6pm. Happy Hour Begins @ 9 pm for
our inebriating pleasure.

If we need to sharpen those times, just let me know so I can modify the
reservation.

A SIGNED CONTRACT WITH DEPOSIT WILL BE REQUIRED IF WE WANT ANY OF THESE
CHANGES;

- any other day of the week except Monday
- pre-selected menu (aka rubber chicken)
- use of the House PA & sound system

I recommend we consider hiring their in-house entertainer, Kevin, who
played guitar for us this year.

He was easy to work with and played well. He is $100/hour with 3 hours
minimum which should be enough time.

With him comes the PA sound system free of charge for our announcements
& etc.

NO contract is required, just prepayment of the proposed $300.

I think this sets up the framework for a good dinner event. Some of the
details need to be discussed and finalized. When that's done, I will
inform Bahama Breeze.

Very good. This is the same structure we have worked with for several
years and worked great so far. So I say go for it.

Kevin is also great to work with and will bend over backwards to do what
you want or need. Not sure how you want to handle his fee. I picked up
the tab in the past. The one year we didn't use him did not go as well
and the sound was poor from the house PA.

I agree with Beverly that it looks good.

A couple of comments on some numbers:

1. The estimate of 150. For the last several years we've been running right
about 100 or slightly over.

2. Our timing has always been Happy Hour at 6:00pm, Dinner at 7:00pm but
in actuality they begin taking dinner orders soon after HH starts. We
usually have a line item on the schedule for Quality Social Time noted
as "Welcome Celebration" or "Meet and Greet" at 8:30 or so, and the
ending time is usually open and winds down naturally.

Yes, the timing of our event has migrated from mid-May to late March
over the past soon-to-be-21 years. This coming year will mark our third
year beginning in March.

The second round of votes selected the week beginning March 26 by a very
significant majority, so it is indeed the wish of the decision-makers to
hold the event in late March. Discussion over the years has frequently
cited the cooler (as opposed to May) weather as a major factor in play.

We had no announced conflicts for this particular timespan, so it does
appear that it will be workable for the vast majority of our volunteers.

Administrative Committee Seat:

We've had no objection to allowing Gina to keep the "Even Year" Admin.
Committee seat by acclamation, as well as no opposing nominations.

Unless there are objections to doing so within the next list cycle, we

Please keep us informed.

I certainly hope that we can keep something similar to what we had
during the past six years on the schedule. It's been consistently
highly-rated, frequently scoring 5.0 on the enjoyment scale. I think
it's been a win-win for both the shop and for our people.

Personnel turnover is, unfortunately, a fact of life and has given us
problems almost as long as we've been around.

In looking ahead, it appears that our volunteer capacity will be
somewhat "tighter" than in most recent years and we will need to
more carefully manage volunteer resources and schedule items.

To be proactive, we would like to start confirming the willingness of
those who coordinated many of this past year's recurring activities
regarding a repeat of the activity or a similar one in 2017.

Not everything is listed here. Those activities which are already in the
planning phase are not listed, nor are many which appear to be "one
shot" and not recurring activities.

If your "name is called" here, please let us know one way or the other,
as to if you are willing and able to host(ess) a similar activity for
the 2017 event.

Those whose names are not called are also welcome to volunteer to
coordinate or to assist any of these.

Let's talk about this one.

In my not so humble opinion, this was one of the clear winners of DLV
2016. It was very well attended and very highly rated, indicating that
people looked forward to it and enjoyed it. I personally hope that it
will be repeated.

Dionne has volunteered to do the BB dinner this coming year, and (see
above) she has confirmed it for Monday. This leaves the second major
gathering, on something like Thursday or Friday, as a potential for Off
The Strip.

affair as the second major gathering of 2017?

On Tuesday, 13 Sept. 2016, I visited the Shelby American facility, Home
of Shelby Cobra Jet.

General Admission is Free with Free Docent tours @ 11:30 am & 1:30 pm.
My tour was 2 hours long.

The Docent is a Retired Ford Motor Company Executive. Although he was
very knowledgeable, he was sometimes hard to hear. There's lots of
Motorhead pleasure in this tour but it's a long distance from the
hotels.

DLV has a growing Motorhead group lead by Zoe B. Good et. al. I
recommend she consider leading a group for this potential DVL2017 event.
