Org List:

This is the DLV 2016 Organizational Mailing List (dlvorg_at_geekbabe.com)
Replies to this message will be forwarded to the DLVORG list and not
the DLV-Announce or DLV-Discuss list.

Moving the summary along:

Next week we'll be introducing the topic of what did and did not work
this year.

If you have any input on what (anything, activities, procedures,
systems, etc.) did or did not meet your expectations, please send
it in for next week's ORG mailing.
. . . . . . . . . . . . . . . . . . . . . . . . . . . . . . .
A couple important items:

Two somewhat time-sensitive items here ...

First of all, our survey closes in about a week and a half.

Responses this year have been, unfortunately, a bit slower than in most
recent years, so it's important that if you have not taken the survey
you please do so. It's on line here:

http://www.geekbabe.com/dlv/2016survey.html

To speed things along, please remember that for activities you did not
attend, you can leave the corresponding items totally unchecked.

Also, if you're concerned about the length and the time it takes, please
feel free to skip the activity "comfort" section. This section will most
likely be going away next year, as we really have not been getting that
much actual information from it in recent years. It will most likely be
replaced by a general free-form "were you uncomfortable at any ..." box.

If you have already taken the survey but wish to add additional comments
and suggestions, please re-visit the above URL, skip all of the check
boxes, and scroll directly to the comment area at the bottom.
. . . . .

Our Call For Photos response has been great so far. We have about 1000
photos in, not all of which have been posted as of this time.

Uh-huh, the removal requests have started to come in. :)

For those of you who have photos to send in but have not sent them in
yet, particularly those who have larger batches to send, please do what
you can to get them in sooner rather than later. Last year we had one of
the larger batches come in just before "closing time" and this resulted
in several post-facto removal requests. It's much easier to do removals
before the final pages are created.

Please give the Photo Upload function of the Attendee Information Portal
a chance to work for you if possible. It's very clean and really helps
to move things along on the back end.

Thanks to all who have submitted and will submit photos! :)

Vote results:

Votes are in and polls are closed on our Vote Of Confidence for those
holding named positions within the ORG group.

No "No" votes at all were received. Congratulations to all of those
named for their unanimous votes of confidence. :)

Two abstains were recorded. One noted off line that the sole reason for
the abstention was not being acquainted at all with the individual.

About half of the returned ballots could be scored using the automated
script.

Last vote was dated Sun, 17 Apr 2016 21:52:47 EDT and polls were closed
at this time on Tuesday.

Raw votes appear below.

Results are:

1. Shall the Project Management Team be retained?

Off The Strip and EHM summary:

Marisa writes:

Yes, yes, yes!

I am very happy how the Off Strip event turned out. I was very
apprehensive as to how I would collect the $500 deposit.

We had originally been booked down stairs in the raised area, but they
put us upstairs because it hadn't been reserved, kind of like BB. They
have a $4000 minimum for upstairs and we spent about $2500 on food and
beverages. I think that downstairs area would work just a well if we
can't be placed upstairs next year.

They were pushing us out shortly after 9 so the staff could go off the
clock though, maybe they would let us hang around longer downstairs.
. . . . .

The EHM turned out quit good with having lots of new exhibits.

We did lose a large number of people after the tour. I thought
that the panel discussion would have held more people with us and the
conversation with Dr V had about as many as B was expected.

The focus on politics was a bit sickening for a late night discussion
though!

Annie responds:

Both Off The Strip and EHM turned out very well, and I'm sure both
will be highly rated.

With $2500 food and drink total, it comes to $30-ish per person, which
is right in the ballpark of what I would expect. The upstairs had a
feeling of being full (as in "never rent a hall you can't fill") and I
think that added to the ambiance.

JoAnn and I stayed at the bar downstairs for some time. I'm sure they
would have enjoyed the additional bar business had others done so as
well. :)

At EHM there was quite a discontinuity in the "flow" between the tour
and the presentation parts of the program. I was told (did not see in
person) that some were just milling around outside during the Panel.

The bar was a very nice and unexpected touch.

For EHM I would suggest some new twists for next year to keep it fresh
and to keep the demand strong. EHM is a good venue for a relaxed dress
code activity and we do need some of those in our program. We were able
to keep the turnout up over 2011-2013 by adding a few features which
countered any "same old same old" feelings.

How should you do wrap-up items:

Katie writes:

Hi All.

I wrote a wrap up of the coffee morning activity on the My DLV
discussion page because I thought this was where it could be read by
all who attended. I guess that is not the way I should have done it.

If it is useful then copy and paste it to the Org if that is what you
want. If not that's ok too.
. . . . . . . . . .

Annie responds:

There's really no "correct" place to post these. It's really up to you
whether to send them in here, post them in the Discussion Forum, or
both.

For those who did not read the summary, it's on line here:

http://www.geekbabe.com/dlv/mydlv/mainforum/viewtopic.php?f=2&t=3426

I would say that the rule of thumb is whether you intend them mostly for
the volunteers or for the attendees as a whole. If you're speaking
mainly to the former, here would be the better place. If mainly to the
attendees as a whole, the Forum would be the better option.
