Defining of the Strategies [1,2,3,4] by Annie provides a very clear
planning tool and I say one of the strategies needs to be agreed upon.
I suggest to keep everyone on point by having a discussion period and
then a vote to select the strategy. As co-project manager I would
propose to accept Strategy #1. If we can jump forward to such, we
would save a lot of conversations sucking the air out of the room.
Let us go forward with an agreed strategy.

I totally agree we need to move on and leave Hustler behind. I would
say that Soiled Doves might become a bi-annual event. EHM might need to
follow the 2014 format and see my comments below. Big Wheel may also be
a bi-annual activity.

We need a different and multi-priced approached. Suggest we look at
Katie's show suggestion format. I have added some thoughts.

This will work very well for one of our "Anchor Night" slots.
Although the plan has not been written yet, a good combination of
entertainment, dress, ambiance, beverages, etc., appealing to a very
broad section of our contingency, should give us a very good turnout.

to organize a shopping trip to either north or south outlet mall
including lunch and discount coupons like the last time we tried this.

I would prefer strategy number one. I like the idea of having two big
events.
I have a number of events that I will likely plan. Since I am headed to
Vegas for Halloween I will look into some options for a farewell party.
I am also thinking of doing an afternoon dancing and drinking at the
carousel court followed by dinner.
I will also likely plan a night out for a fancy dinner followed by a
show or vice versa.
I would be willing to help out with the limo tour if needed.
As for some options other than Paris for dancing I will look into some
others.
I will also see if the girls are willing to do another wig seminar. Or
perhaps they can do a different topic in addition.
I am always willing to help just ask.

As far as the "bell curve" of daily attendance over the week, here's
what was the final daily headcount projection for DLV 2015:

+ HC proj. report for 2015-03-24: prim: 116 SO: 22 total: 138

Yes, these numbers look high and they are. At the time of the report,
the no-shows were unknown.
It shows the build-up to the peak occurring on Wednesday and the
subsequent drop-off to Friday.
It's up to the gang here as to exactly how we structure our week and in
particular the maximum-turnout activities. So far there appears to be a
preference for "Strategy 1" (major gatherings on Monday and Friday,
wind-down ending on Saturday) but that's most definitely not in stone.
If the gang wants, we could certainly do a singular Big Bash on
Wednesday, hitting the peak of attendance, with a stand-alone newcomer
reception and orientation on Monday and a lower-key farewell gathering.
Likewise, we could do a "final bash" on Thursday to catch the trailing
edge of the peak and then a lower-key farewell on Saturday.
Comments on any of this?
Cami, thanks for looking over possible venues. This year we appear to
be in the market for both venues that could host a dinner and a big
reception, and those for a reception only, as in a place that wants a
lot of bar business. :) The Linq vicinity has been suggested several
times for one of our major gatherings, but we're not married to it, of
course.

Sunday Start:

absence of Sunday as a start day. We always officially just merely amble
in on Sunday and then start the DLV week on Monday and never on a
Sunday. (Which is probably the day when quite a lot of us like to arrive
and likely the very best day to start the week off )...
Yes I know it is Easter Sunday but the flights To Vegas will be a lot
cheaper and personally Easter is not high on my priorities anyway and I
am sure that I am not alone as there are many in our ranks who live
alone and those who are not ruled by religion so there are still many
who might consider arriving Sunday and would have no place to meet the
girls so I'd like to respectfully suggest Sunday as an official start
day for those who want to and for those who don't. They can start on
Monday!
Up until now Sunday was always an (Ok , If you really want to day) and
not an official kick off day. I think it might be good if we at least
threw it out there for consideration as a faster start day than the
previous practice of a semi non official slow start dining out day.
My logic here is that arriving Monday at all hours of the day, sometimes
morning and sometimes late afternoon can be a huge rush around to get to
the opener and some never Do get around to it, whereas if we start
Sunday then it might take off as the official start day if it were
handled correctly.
By this I mean multiple dining both High and low end and then some get
together places for socializing on Sunday evening with plenty of options
to let both new and old attendees meet the gang and get acquainted or
reacquaint before the real official opening night on Monday.
I believe this will help the social process along in a big way. IE:--
Those who did not know anyone will now know a few before the opener who
they might like to sit with or spent time with during the week etc' .
I suspect that the opener is not always as inclusive as we would like to
think it is and this may help it to become more so. Just an idea!

A Sunday ramp-up start has its merits.
While planning such we need to be respectful of Easter Sunday. So as
always we should see Monday evening as the "big event". I think people
knowing such can plan for arrival on Monday so they are ready for Monday
at 6pm-- "the START".

We do have the option of changing the schedule up to three days with a
simple majority vote, so technically, moving the start to Easter Sunday
would be possible, if the group would choose to do so.
However, I would envision a lot of complaining and push-back and a less
than desired turnout for the Sunday activities should we do it. As JoAnn
said, we need to consider the family and faith commitments of those who
will be attending.

A night of shows:

Instead of a high end show which many may not be either into or find
affordable we migh want to offer some options on the same evening such
as we used to foe EON. (Eating out night for those who are not familiar
with DLV acronyms. lol
Do we think this is a viable option for a single night?
Example.. Caesars Palace main line entertainer = $200 - $300+ Then a choice
of Downtown Gordie Brown at the Nugget or the Country music show there for
$30 or less. and possibly Jeff Dunham = $65 or something near to it.. No I
am not volunteering to hostess one of these, Wink.
I do like this idea though and I think it might fly and it would cover
all budgets. The low key shows can be had at the discount outlets and
done with a fair degree of spontaneity too so that might work for us.

Katie has an idea that I support and suggest we have a conversation on
how we can "massage" it into an "Evening of Entertainment".
Forget dinner.. you are on your own but we offer a dinner list near each
venue. But we might have a central meeting place were we have a
"pre-event" food sampling, then disburse to shows.
The format: We set up the information and the cut-off date for DLV
persons to do a direct sign-up for shows. Then we publish a list of the
sign-ups.

are dependent on their store sales figures.

From my own observations, we do need help with eyebrows!

I completely agree with this and THIS is my biggest concern. We need to
work out a registration workflow to get a good outcome. That's why I
posted this up to the group for ideas.
Maybe the registration is two-parts with first sign up and reminders to
call the store for appt. Have the free gift bag as a motivation when
they call for the appt. Let them select a class they want or ask the
store which class they recommend.
More ideas are welcome.

We could indeed do a DLV sign-up for headcount and then have the
attendees phone the shop for an actual appointment. It would be very
easy to launch sign-up reminder e-mails either as a one-shot or at
intervals until a flag is cleared.
It's really your call, as Coordinator, as to what to do here.

Yes, such an activity would be a good fit in countless daytime
timeslots and there are countless venues in which it could be held,
both alternative and mainstream. This should also be very simple to
coordinate.
As we start to develop the schedule, just select a timeslot which
you think would be a good fit.

Big Wheel:

As JoAnn said, the Big Wheel probably has the drawing power to be a
fairly significant every-other-year activity.
I'm for anything that encourages newbee assimilation, but it's really up
to the Coordinator(s) how this would be done. As is the case with the
Limo Tour, those who have Best Buds tend to want to ride with said Best
Buds and we've had some success over the years by throwing in 1-2
newbees with the Buds.

I would suggest a different venue with better lighting (so we can see
the product's actual color). There are several restaurants in that strip
mall that could work.

Was the light bad at Spotlight? IIRC most of the products were displayed
under those pool table lights and I was able to do some shots of those
without flash. I know I didn't have any difficulty seeing in there.

I agree you have raised the awareness of volunteer availability during
the voting process. I'm attempting to convey a slight change in the
sequence of the voting process.
Add granularity by separating the deciding criteria in order of relative
importance.
The goal is to maximize the volunteer workforce.
For example, prioritize them by;
1. Propose weeks with reduced exposure to Holidays, large conventions &
etc.
2. Pre-vote on volunteer availability - knockout prospective weeks with
low availability
3. Vote on Actual weeks remaining in consideration
4. Select Monday or Sunday start on final week of choice based on events
with volunteers to host them
My guess is that a week with a Monday start might have been selected
over a Sunday start without sufficient weight given towards volunteer
availability. Monday versus Sunday is a lower priority compared with
availability. I hope this helps to better convey my thoughts.

I personally do not think we need more formality regarding our date
selection vote.
What I'm hearing as I read and re-read your note is not a need to change
our formal process, but a need for more information of a very specific
type (volunteer availability) to be made available to those who will be
voting.
All of us have different values and different criteria for what is and
is not a good week to hold our event. I daresay that for some, factors
such as weather, for example, will be far more important than volunteer
availability.
