The date vote:
This is a very quick mailing giving an update on the date vote. The next
regular ORG mailing will be coming out just as soon as our date vote is
final.
The polls have just closed on the first round of voting with no majority
and a tie between the two most favored options.
Those of voting status should receive a run-off ballot shortly if not
received already.
Since the date vote has often been very close, it's very important that
everyone who is eligible to vote does so, and does so promptly.
Some concerns are addressed below.

Some notes about the voting process:

particular the time it's taking to let the process run its course.
Patience is appreciated. We don't want to change any rules in the middle
of the game, or in this case in the middle of a play. :)
If you want the voting process to move along as quickly as possible,
you can really help speed it up by checking your inboxes frequently
and responding promptly to calls for votes.

To many of you, the vote on the selection of the dates for our next
event is the most important vote of the year. It's historically been
the most contentious of our votes, and it is often times very close.
The results of the date vote have the most real-world impact on the
lives of the volunteers, and in several cases determine if someone
will or will not be able to participate.
We need to be very sure that the voting is fair to all, as transparent
as can be, and balances the needs of all.
Being fair sometimes means that the results of our votes are not
available as quickly as some would like.
Here are a few notes on exactly how things are done, and exactly why
some votes do take several days.
We're going for a true majority on the date vote, meaning "more than
half" or "at least half plus one", and that sometimes means that a
second or run-off round is required.
Griping has arisen in the past when we've attempted to move things along
by shortening the "timeout" of the closing of the votes on a second
round, or anything else that appeared to change the rules in the middle
of the game, or in the middle of a play.
Now, here's a run-down of exactly how those "reminder" messages work.
We can assure you that they are not selectively sent depending on the
content of the ballots received. They are sent out on the third and
fifth days (and would be on the seventh, but I can't remember any cases
of this) if and only if less than 50% of the eligible votes are in and
only if the timeout has not expired.
The raw votes, redacted to remove any identifying info, are always
published and we've always planned to make the responses as a whole
available to any volunteer who questions the accuracy of the results
or the integrity of the process.
Another thing we've learned the hard way, and must be total sticklers
about, is that those of us who see the votes while the polls are open
need to maintain as close to "total radio silence" about the vote as is
possible. About the only things we'll respond to are items regarding
missing ballots and requests to clarify an unclear or invalid vote.
Sorry, we can't respond to requests for a hint on what the outcome will
be, nor an estimate of when the vote will be final.
We haven't had an unbreakable tie for some time, but as Bob and Sara
surely know, they have happened on occasion. We usually break ties by
withdrawing the PM Team's votes, but in the Bob/Sara case that would
have still left no majority.
We try to be as fair and as transparent as possible, and we would very
much appreciate everyone's patience and understanding when an important
vote is underway.
