Beginning the wrap-up:

First and foremost! Big thanks to all who worked hard to make our 2014
event the success that it was!

Very few complaints were heard and everyone involved deserves thanks and
congratulations for another totally high-class event! :)

Most of the usual post-DLV items are currently underway and running
smoothly.

For those of you who wish to share your thoughts and experiences about
our event in general, or about the various activities, please write them
up and send them in.

We're asking all of you to help clean up and finalize our attendance
roster. Please look at the "Missing In Action" section below and respond
if you are listed on it and did attend, or if you have any certain first
person sightings that you wish to report.

Our "jobs" over the next few weeks include the following:

1. Final summarizing of the 2014 event. Lessons learned, etc.

2. Activity reports. Send 'em in! :) :)

3. Clean-up of the ORG mailing list. This will begin next week.

4. Reviewing of the DLV 2014 survey results. (Closes April 30.)

5. Confirmation of the DLV 2015 Project Management team.

6. Election of the "Even Year" Administrative Committee member.

7. Addition of the DLV 2015 volunteers.

8. Preparing the DLV 2015 electorate (voting status) list.

If there are any other items which need our attention in the immediate
future, please don't be silent. :)

Issues, incidents, etc.:

Annie writes:

There were very few issues of any significance. Overall things went very
smoothly.

The one issue which concerns me the most this year is that of no-shows,
both in terms of those absent from the event as a whole with no notice
or cancellation, and those absent from activities they were signed up
for.

In the weeks leading up to our event, our registered headcount peaked at
204. On the Wednesday prior to the event this had dropped to 197, mainly
due to the fact that cancellations during the final week exceeded those
registering late in the cycle.

As of this day, hour, minute, and second, we have a confirmed show-up
count of only 144. This includes those who checked in with Vera and
Dennis and received name tags, those who checked in electronically with
me or Beverly, those who were reported as present by others, and those
who answered "present" to requests to confirm attendance.

That's 53 individuals totally unaccounted for! No show, no cancel, not
even an excuse, not a word, no nothing! :( That's 20-some percent of our
registered attendees.

I'm totally dumfounded to explain this, and equally perplexed in coming
up with anything we can do about it!

As our event got underway, the reports of no-shows and poor attendance
at some activities came in consistently from some of the activity
coordinators. All of the medium and large activities had very good
turnouts, very typical of what we've seen in recent years, but some,
mostly the smaller ones, had fairly high fallout rates.

Two years ago, 2012, we saw an extremely high rate of cancellations just
prior to the event. This year, however, many just did not show!

If anyone cares to speculate upon and discuss the reasons for this,
please do so.

We should think about having a "priority registration group" period of a
week next year for those who in the previous year [2014]registered and
attended all of their events with no more than a [1] no show. This a
way to recognize and reward those who are responsible participants in
the registration process.

This year I'm unaware of any restroom issues or incidents at all!

Ditto for dress and behavior issues.

I would like to personally thank all for making this year's event one of
the smoothest-running in recent history! :)

"Low-Information" attendees:

This was my personal area of attention this year, specifically trying
to understand this and try to come up with some ideas to reduce the
number of attendees who simply did not have enough information to
effectively participate in our event.

>From the "good news" angle, I'm unaware of anyone this year who left
home totally unprepared and could not make contact with the group even
if they wanted to. I'm also unaware of anyone who chose to stay far far
far away and therefore had difficulty participating.

I'm also unaware of anyone arriving and expecting a convention. :)

I think the Newcomer Orientation was a Good Thing and that we are indeed
converging on something that will be an effective introduction for those
who are new. For the most part, those who attended were those who read
the material and were reasonably well prepared for our event.

As for those who lacked the information, I observed that they tended to
fall into two categories:

1. Those who are not aware of the information that is available.

2. Those who are aware of the information, but choose not to use it.

For category 1, it's not only the clueless newbees! On Friday of DLV
week I spoke to a volunteer who is otherwise very much in tune with what
is going on and she had no clue that the material presented in the Large
Final Mailing even existed. An obvious action item is to be sure that we
very clearly indicate what information is available and where.

As for item 2, again, it appears that it's not only the newbees. Some
attendees simply display a certain degree of indifference to the details
and the goings-on of our event. It was my observation that these tended
to participate in the major activities such as the larger gatherings,
but not so much for the smaller and special-interest activities.

of our event (participation, however slight) :) please let us know so
we can mark you as present.
