Two plus weeks:

It's all (hopefully) down hill from now on!

Until our big event, we will be switching to as-needed mailings rather
than weekly mailings. Frequency will depend upon need.
. . . . . . . . . .

Our schedule is actually in great shape. Thanks to all for making it so!
Our one snag was dealt with promptly and we're now back on track.

Over the next few weeks the emphasis will be on filling in the details
and on a number of logistical items which are necessary to make our
event function smoothly.

The one area where we really need your help over the next few weeks
is keeping an eye on things! If you see anything that's un-done,
incomplete, incorrect, etc., please bring it to our attention and
the sooner the better!

This becomes more and more important as we enter our "crunch time" in
the next 1 1/2 weeks or so.

Although activity sign-up is in progress, it's still possible to add new
activities, keeping in mind a few things.

First, everything that we add from this day forward has to be "no
sign-up, just show up" in nature.

Another thing is that new activities do need to fit in the overall
scheme of things. There are some timeslots into which additional things
will fit, but some timeslots that just don't have room for others.

As some of you know, we had a web server issue this past Monday. What
was supposed to be a brief (??) 1/2 hour shut down for a memory upgrade
went bad and we had about 10 hours of down time. :(

Things have been stable for the past 1 1/2 days, so hopefully that will
be the last of our major systems issues this year.

Latest numbers:

As of Tuesday evening we have 191 individuals signed up to attend. The
SO count is now up to 32.

The numbers we need to watch from now on, however, have to do with those
who complete the activity sign-up process and the headcount projection
derived from these numbers.

We now have 84 individuals or couples which have completed activity sign
up. Of those, the machine says that 83 of them will show. (Yes, the
numbers look strange, remember some of those are couples.)

71 of the activity sign-ups are in various states of limbo. From our
history, we know that a certain percentage of those, mostly newcomers,
will eventually be cancelled for failure to show any sign of life at
activity sign-up time.

We also have four more registrations in the pipeline.

We will see that as the date approaches the predicted turnout will
converge very closely to the actual headcount of the event.

Activity sign-up status:

Annie writes:

I sent out the first batch of activity sign-up e-mails a day before the
original plan. People were getting antsy and asking more and more
questions about it.

The second batch went out Wednesday morning.

We're at the point now where about half, maybe more, of the sign-ups
that will come in are in. Those who sign up later in the cycle tend to
not sign up for many things, so all of you who are Coordinators of
sign-up activities can assume that about 2/3 of your sign-ups are in.

The Bar Rescue Tour was the first activity to go into a full state. We
should note to the Bar Rescue Team that all of those who are signed up
are returnees with no no-show/no-pay on record, so the chance of taking
a bath on the activity is close to zero.

Several of the Bare Escentuals makeover sessions are full.

Ruth's Chris is now full, after a clarification on the capacity was
made. Ruth's Chris now has a DEEP waiting list!

Grotto dining is again full, after the capacity was increased.

Mexican dining is full. Randi, please confirm the capacity count below.

62 are currently signed up for the Fantasy Ball. This is right up there
with the sign-up counts of the two single-track dinners (68 and 63).

Any Coordinators who need the running sign-up lists for their
activities, please write in. These are updated twice hourly.

Check-in and name tags:

Annie writes:

We will be in need of a few volunteers, those with some kind of a
smartphone (Iphone, Blackberry, 'droid, etc.) or netbook or tablet for
a proof of concept for a secondary "mark as present" check-in function.
See more below.

Vera and Dennis will be the primary "custodians" of the name tags, but
we're sure that there will be some occasions where either or both of
them cannot be where the tags are needed or just want a break from the
process.

Therefore, we need a few volunteers lined up to take over this function
at various activities.

We're very much aware that in previous years a small but significant
portion of our attendees missed actually checking in, simply because
they were never in a location where a check-in kit was available. This
is becoming more significant since we went to one and only one copy of
the name tag inserts.

We've always done a "missing in action" call after DLV and found that,
yes, a number of individuals were not counted in real time at the event.

One thing that we'll try this year is to allow additional volunteers to
do a quick "mark as present" check-in, in addition to the formal
check-in when name tags are handed out.

If anyone would like to assist with this secondary on-line check-in
process, please write in and say so. You will need some kind of smart
phone, one with a web browser. I have actually been able to get it to
work on a plain-jane Samsung flip phone, although it was very clumsy. It
would be best to have some kind of a smart phone or a wireless tablet or
netbook.

The procedure is simple. Just scroll down to the attendee's name and tap
to mark as present.

Proofing the tabular schedule:

We would like to ask all activity Coordinators (and anyone else who
wants to help test things) to look at the on-line tabular schedule
and shake it down for errors and issues.

Yes, it would be fairly simple to add this.

That's the good news.

The bad news is that we are in a "freeze" of the state of our systems
unless bugs are revealed, and we don't want to change anything unless
absolutely necessary until this year's event concludes.

We'll put that on the list for revamps to be made during the slow
season.

Katie writes:

Please change Katie's Koffee Korner to 7AM. This was my original time
posted and I was talked out of it. So for those who rise from slumber
early I will be there at 7 Am! I am sure there is more than just me who
does not sleep till the sun is high in the sky.

If anyone wants to arrive later in the AM then not to worry, because
that is fine too,they will have company to drink a brew with as I will
be there for a while and so will a few others.

Maybe this should have a 'range' like 7:00-8:30 so people know that if
they cannot get there at the starting time that they can still straggle
in anytime.

I have a feeling that you will see more arriving closer to 8:00 then
7:00-7:30 time.
