Org List:

This is the DLV 2012 Organizational Mailing List (dlvorg_at_geekbabe.com)
Replies to this message will be forwarded to the DLVORG list and not
the DLV-Announce or DLV-Discuss list.

Dates are set:

The big news this week is that our date vote is final and the
timeframe of Sunday, April 22 thru Friday, April 27 was selected
by a fairly significant margin. See item below.

We'll be posting these dates as final and solid on the web site in
24 hours, pending any "show cause" why the outcome should not stand.

Thanks to all for a smooth date selection process this year! :)
. . . . . . . . . .

Now that our dates are set, we'll be introducing our strategy for
the programming of DLV 2012 over the next few weeks. As we did last
year, we'll be thinking "Big Picture" prior to any plugging of
activities into timeslots.

We are also set to announce our suggested hotels in early December,
and the floor is now open for discussion on hotels, both from a
high-level strategic perspective and for mention/nomination of
specific properties. See item below.

Pinkfest happens next week in Chicago and there's still time to
get in on it! pinkfest_at_pinkmyst.com

We will also be circling back to the objection to our decision to
allow Bob and Sara to share the Odd-Year Administrative Committee
position. Those of voting status can expect a two-part resolution
ballot shortly. We are asking all to accept the outcome of this
next round of voting as the final decision of the group on this
matter, and to focus attention and energy on the programming of
DLV 2012 and related items.

JoAnn Sez:

Hopefully all of you who selected (A) and (C) can join (B) this year.

The best solution might have been to have weeks (a), (B), and (C).
There is a limit to how much Diva anyone can tolerate, including Las
Vegas.

Now we have another vote coming up. Administrative Committee.

To accept two reps working hard? Or voting to select "one". We are
working "within the Rules". Let the decision be made and then we can
move forward with lodging.

Then my next favorite Phase-- Diva Week Scheduling.

DLV 2012 dates:

Votes are in and we do have a true "more than half" majority
on our DLV 2012 date selection.

Results are:

A. Sunday, March 25 thru Friday, March 30: 9
B. Sunday, April 22 thru Friday, April 27: 19
C. Sunday, April 29 thru Friday, May 4: 9
D. Abstain: 0

Last vote was dated: Sun, 9 Oct 2011 03:13:33 -0600 and polls
were closed Tuesday morning. No late or invalid votes were
received. Some votes noted a "second choice" which were omitted
from the tally and accepted as votes for the first choice only.

One missing ballot was reported. Another late ballot was sent to
one volunteer for whom we had no e-mail address on file.

One reminder to those whose votes were outstanding was sent
following an initial slow response rate. At the poll close,
votes had been received from 37 of the 48 eligible voters, a
"higher than normal" final response.

Raw votes are displayed below.

Hotel strategy:

Annie writes:

I think we need to review our hotel strategy this year, and look
at what we've been doing critically and get a handle on if we
have indeed been providing a service to our attendees by doing
what we've been doing.

My opinion is that we suggested too many hotels last year. From
the survey responses, one of them picked up the lion's share of
our people, and the four others had at most a handful of DLVers.

In reviewing our objectives for suggesting hotels to our attendees,
we have items such as:

1. To let the attendees know which hotels have been known to be
TG-friendly (or TG-oblivious) and good service providers.

2. To let those who are unfamiliar with Las Vegas hotels know
which places are decent, affordable, and safe.

3. To name hotels at which other attendees will be staying, for
those who wish to be in the company of others for any of several
reasons.

I think we can easily meet these objectives with a smaller number
(2-3 or so) of suggested hotels.

Comments?
. . . . .

Those "Special Group Rates"<tm>:

In past years, "Special Group Rates" offers from hotels have seldom
been lower than web rates or cold-call rates. In addition, such
rates have frequently come with various strings attached.

Last year we were given a very attractive rate at the Artisan, but
unfortunately this came in too late for many to take advantage of
it. We also had a volunteer query the Gold Coast for group rates,
but what she was quoted was a rate higher than the web rate!

I would encourage anyone who wants to approach the subject of
group rates with hotel personnel to do so at this time and to
report back to the group here as to what is offered prior to our
suggested hotels being decided upon.

Cynthia, this is your cue. :) :)

For those who are new, no, you do not need "permission" to talk
to such people as hotel managers on behalf of DLV. Please do keep
in mind that we will be unable to guarantee any specific number
of rooms sold or any level of occupancy, nor will we have any
funds available for deposits or to cover any shorages.
. . . . .

So, what do we do?

I don't know. I'm asking. :)

Our methodology in recent years has been to nominate/second hotels
and to have the group vote yes/no on all, and those which carry
(historically 90% or so) are named as suggested hotels. What
happened (and I admit I'm guilty on both counts) is that people
nominated their pet hotel and those voting simply said "why not"
to all but a few of them.

A few of the criteria I think we should consider for our
suggested hotels include:

1. Minimum level of quality. Sahara was voted down last year
after issues were reported.

2. TG-friendly. IMAO, any property showing TG-hostility or GLBT
hostility should not be suggested!

3. Cost and scale. We do need one "affordable" option. We also
should have one upper-mid or upscale option for those who want
something nicer.

I think we should look at limiting our suggested hotels to
three at most. Have one of them most definitely affordable,
one of them high-end, and one kind of in the middle.

I would like to open up a line of discussion on this topic.

Comments, please.

Objection:

Holly writes (from a conversation):

>>>As to the proposed solution to the tie, I do have a
>>>reservation... not to the solution itself, but the procedure.

>>Is this to be considered an objection to the procedure.

>>Are you requesting a run-off round?

>I apologize if my original message was not clear. Yes, I am
>objecting to the procedure. It's probably all my years of
>contract enforcement as a union leader and job steward :-).

>I believe when a body sets aside established policies and
>procedures in the name of expediency or convenience, it's the
>beginning of a slippery slope and only becomes easier and easier
>in the future and it devalues the process as a whole.

>I am asking that established policy and procedures be followed to
>resolve the lack of a plurality in the original balloting.
. . . . . . . . . .

Let's consider this to be a motion to reverse the decision made
by JoAnn and myself (Annie) to allow Bob and Sara to jointly
fill the position. In order to move this forward, I will second
this motion to allow the question to be called. We need to move
this issue toward a timely conclusion.

Those of voting status can expect a two-part ballot shortly,
which will consist of two measures:

1. To confirm or overturn our decision to allow Bob and Sara to
share the position.

2. A run-off vote to be used in the event item 1 is overturned.
