Touching base:

Again, a quick touch-base.

We've seen some movement on the numbers in the past day or so.

A couple of new registrations and we did have a few responses
from the last send of "cancellation pending" notices.

Reconfirmed : 162
Registered : 0
First notice : 2
Second notice : 1
Canc. pending : 19

Total registrations: 162
Total SO: 35
Total signup: 197
Total projection: 156

The total turnout appears to be converging in the 160-ish to
170-ish range, just slightly higher than predicted last
weekend.

No major snags have been reported. There are still some details
being worked out on a few activities, but all appear to be
under control.

Let's stand by in case we have any last-minute issues that need
to be taken care of.

EHM update:

Thank you Annie.

Dr. Austin indicated there haven't been more than a couple of
that type of call but she writes: "I hope I didn't come off
too strong; we have a policy for keeping the museum a safe space
for people to express themselves without being targeted by those
who may have less than honorable intentions. Thanks for
understanding."

I'm confident this will be a comfortable experience for us all.

I will be arriving there 45 minutes to an hour prior to the event
and will be monitoring arrivals and checking the parking area just
to make sure we have no issues that go unresolved.

You have my cell number with my registration and I'm signed up
for Chirp, so if you hear of any problems please let me know.

Marisa has an idea below which may alleviate the parking issue
somewhat.

If I hear of any issues, I'll phone you. This year, I'm going to
consider the Chirp method strictly a proof of concept, and I
don't plan on ODing on it. Any I send during the event will be
from Adminstrator to All. We've had a confirmed report that any
reply Chirps from Verizon cell phones will not work and that's
one issue I'm trying to work around. This is till very much a
test.

Now, as to what and when you should tell Trevi. Actually, it is
up to you, but if I were doing it, which I'm not :) I would let
them know that a final estimate will be coming a few days before
the dinner.

Here's the numbers as of this morning:

Total count for activity Trevi Dinner: 44
Estimated turnout for Trevi Dinner: 33.2

IIRC, for Trevi, it's been better to estimate on the low side
and have a few more customers than it is to estimate on the high
side and come up short on meal sales. Keeping that in mind, and
the fact that the estimated turnout is usually within +/- 10% of
the actual show-up count, I would take the final estimated turnout
number when activity sign-up closes, subtract 10%, and give that
number to use as a minimum headcount estimate.

The parking lot in front of Firefly gets full most all the time,
but there is additional parking behind Ruth Chris, which is to
the right of Firefly.

Can there be a note made somewhere that car pooling could be
done from Firefly to the EHM on tuesday?

We can add two items (overflow parking and carpool) to the
various documents if you are reasonably confident that there
will be no predatory tow-aways from either parking in Ruths
Chris and dining at Firefly or leaving extra vehicles at
Firefly/RC during EHM. I'll put the notices in, pending your
confirmation on this.

I also found a possible restaurant to check out for a group of
less than 30 to meet at with no contract or minimum purchase, just
a 3-4 hour reservation. It's directly across Paradise from Firefly
at Gordon Biersch Brewing Co. (3987 Paradise).

I don't know if a group of classy people like us would scare them
though.

We've had individuals and small informal groups go to Gordon
Biersch off and on over the years. No negative reports that I
remember. It may be a good one to consider in the future. Thanks.

Limo Tour capacity:

I was wondering if you could hire more limo's to accomadate
those of us who want to go on the limo tour, as I understand
there is a significant waiting list for those of us who want
to go on the limo tour

Here's the story. Years of practical experience and learning
the hard way have shown us that the practical limit on the
number of limos is six, and the absolute limit is 7, which is
what we're doing this year. Anything more (we've tried 8 and
even 9 one year) and it turns into a total cluster{f-bomb}!

There is the "load factor" issue on the volunteers, but the
real issue is the space required to stage, park, and load the
vehicles.

Now, there are some things you can do to better assure that
you can get to go. Let's first look at the numbers ...

As of this morning we have seven limos full, a few on the
original waiting list moved up to confirmed, and 5 returnees
and 9 newcomers remaining in a waiting list state.

Statistically, we'll have 1-2 cancellations prior to DLV, which
will move some more up to confirmed in a "first-signed, first
served" order.

We'll also have a handful of no-show folks, or in this case,
no-pay folks, and those unpaid tickets will be released to the
waiting list, first-paid first-served.

The best thing to do if you really want to go is to be physically
present with cash in hand at the exact day, hour, minute, and
second that the unpaid tickets are released to the waiting list.
This will most likely be 6:00pm PDT >SHARP< at the Buffalo Happy
Hour. We can't release any early, since we've had confirmed people
pay within minutes of the deadline in the past.

"Money talks and nobody walks!" :)

There are almost always tickets available at this time. The only
thing is that you and your partner or buds may not be assigned to
the same vehicle. However, with the new "rule" that went into
effect last year, exchanges of vehicles are allowed after the
first stop as long as all in the vehicles agree to it.
