This is a quick touch-base mailing covering a variety of topics,
none of them earthshaking or urgent, but more along the line of
filling in some of the blanks.

Printed map and schedule:
This is really the only time-sensitive item for this mailing.
So far we have no volunteers to duplicate the map and schedule
and make them available in hardcopy form.
We need to set a deadline on this, so if it's not going to
happen we can properly notify all in advance.
We'll need a volunteer to duplicate this by this Saturday at
the latest (someone to volunteer by this Saturday, not to
actually provide the hardcopies on Saturday) so we can start
including notices to the effect that it will or will not not
be happening in this weekend's general mailing .
Please remember the time constraints. To be effective it needs
to be available at the common gatherings on Sunday at the very
latest.

I was having a difficult time with the timing.
Some ideas I had is a 5pm early HH on friday at BB or for more
of a party atmosphere some day, have a put your $$ in the hat
for 1/2 off pizza (drinks are 1/2 off too) 3pm-7pm at PT's
(or anyother time of day).
Having it at the Artisan would be fun too.

As you say, the timeslot is really the only issue. As the cliche
goes, all of the good ones are taken. :)
We'll need a timeslot which is reasonably clear, and that is
somewhat of a challenge this late in the game. I would also think
that toward the end of the week would be the best, to capture the
"glow" and leverage it.
For Thursday lunch time, there's only Mount Charleston and
LWG interfering with the timeslot. Nothing which will attract
a high volume of attendees. This seems like the "clearest"
timeslot.
We talked about a luncheon on Friday, but the High Tea does
put the damper on it, since it's a high-interest activity
which will attract a number of potential volunteers.
Later in the afternoon (5:00pm or so) on Friday is better.
IMAO, Thursday noon or Friday early HH as you suggested would
be the best.
I really don't see any other times which would work.

Yes and no.
We're planning on doing Rocky Horror on Saturday evening at
10:00pm (yes, that appears to be the correct time, although
nontraditional for RHPS) but I know we want to do something
more of a social gathering prior to that.
We're open for suggestions.
IMAO, we should pick a place that we're not using in the main
schedule, or at least not using for multiple activities.

This is particularly important for volunteers ...
If you have registered but know you will not be joining us,
please either cancel your registration on the web or else
send us a note that you will not be coming. No, you don't
need to explain anything. Just reply to this mailing.
We hate to see anyone cancel, especially volunteers, but we
certainly don't want any volunteers recorded as "cancelled
by default" or worse "reconfirmed no-show", both of which we
do keep track.
In the event you are the primary Coordinator of an activity
and for some reason you are not able to be with us, please
let us know ASAP. Reasons for this are obvious. :)

Artisan transportation:

Not that I'm aware of.
The Artisan is in an enclave, not really walkable from anywhere
and as far as I know there's no open parking in there. There are
a few businesses in there, the big one being a strip club, and
the Blue Moon Resort not too far away.
Does anyone who is more familiar with the area know of any
parking other than the valet lot at the Artisan which might
be available to us? I would be very hesitant to suggest parking
in a nearby business, even thought it may be closed, due to the
predatory nature of tow-aways.

Activity sign-up status:
Sign-ups continue to come in.
As of this time it's clear that every sign-up activity will have
enough participants to be meaningful. Nothing this year has a
low or zero sign-up, which shows us that we did a good job in
planning things that are in demand.
As of Monday morning, 117 sign-ups are in and 63 are outstanding
or yet to be sent. Although this shows that slightly more than
1/3 are yet to come in, if past history repeats, only about 1/2
of those still outstanding will eventually come in and the rest
will finally fall through and be cancelled by default. This means
that between 75% and 80% of the sign-ups that will come in are in
at this time.
Also if past history repeats, those signing up late sign up for
fewer optional activities, so the vast majority of those who will
be signing up for your activities have done so.
The following activities have been marked full and are in a
waiting list state:
Mon Ami Gabi, Sunday
MAC Makeovers, Monday
Bare Escentuals Makeovers, Wednesday
PF Chang's, Wednesday
MAC Makeovers, Thursday
Limo Tour, Thursday
High Tea, Friday
Macy's Makeovers, session 2, Friday
Other two Macy's just need one participant each to flip them
into full.
Trevi is approaching full I'm holding off on the full flag since
I know for Trevi, it's much better to have more than the count
than fewer than the count.
Highest number of sign-ups currently sits at 99 for the dinner
portion of the Welcome Celebration (predicted show-up count
of 77.5) and the Bahama Breeze Dinner with 85 (predicted show-up
count of 68.1). If the "70% will eat" rule holds, we'll most
definitely break 100 at the Welcome Celebration and very possibly
at Bahama Breeze as well.

We do have a sign-up for the dinner portion. Our practice has
always been to not do sign-ups for Happy Hours since there is
almost never a capacity or commitment concern.
You will have a fairly accurate count for the dinner portion,
which is definitely the most popular of the Eating Out Night

it's far too late in the process to add any sign-ups.

Before adjusting any capacity limits, particularly if it involves
extra people on the clock or on commission, please keep in mind

All of those above the waiting list line are returnees, many of
them being multi-year, and they do have a good show-up rate. Of
the two on the waiting list, one is first-year returnee and the
other is a newcomer. The machine says that 10.4 will show, which
is a relatively low fall-out due to the abundance of returnees.
My hunch is that 12, including you two, will cover things. :)

Margaritaville:

Hi, this is Sabrina, and I just went over the latest mailing,
and concerning the Margaritaville cocktail and dinner option.
I was planning on having that on the third floor of Margaritaville.
There is a bar up there with a great view of the strip, and its a
little out of the way from the main floor area. Probably better for
socializing and meet and greet and any newly out.
They have video displays of the main floor as well up there so you
can see the whole thing. Dinner will be up there as well.
About the note on parking. The IP is right next door and if you
wanted valet parking, one could use the IP's since it's out front
on LV Blvd. I think the walk is probably closer from the IP than
the Flamingo. And for anyone staying at the IP, Margaritaville is
just a very short walk to the south on LV blvd.

As for parking, what we had in there was the generic instructions
for the Flamingo. I added Margaritaville as a separate venue and
"moved" the activities there. I added the IP parking.
