We have approximately 4 weeks to get an Activity Schedule drafted.
So please read through this e-mail and let us know where we can
count on you to help this all happen.

Scheduling and strategy:

As of January 4 we have 96 registered attendees, all returnees,
signed up. We haven't even started taking the first-year people
yet! It's very difficult to do an apples-to-apples comparison
of where we stand in comparison to previous years due to the
scheduling differences, but it's very safe to say that this has
been a very strong returnee re-registration showing this early
in the process!

We've seeded the schedule, and the working schedule will be in
all of our mailings between now and DLV. Please look this over
and be thinking of timeslots for the activities you want to be
involved with.

Nothing on the schedule is in stone yet. Toward the end of the
year we appeared to be in agreement on which days would have
our maximum-attendance, feature-activity, and multi-track
evenings. If there are to be any significant changes, those to
be made with a meat cleaver as opposed to a scalpel, they need
to happen very soon.

By our long-standing precedent, those who have coordinated a
successful DLV activity have the "first refusal rights" to
coordinate the same activity or a similar activity for the
current year's event.

Now is the time for all of you who coordinated previous things
to (please pardon the expression) "defecate or abdicate" and
let us know, one way or the other, if you are interested in
coordinating it again for this year. If you aren't interested,
we ask that you please give us the courtesy of a "regret" and
not simply remain silent. That way we can let others pick up
the ball and run with it.

It's also time for all of us to be planning the other things
we want to do to make DLV 2011 all it can be.

Let's summarize the activity ideas and suggestions which have
been brought up since DLV 2010.

To all, please look over this list, pick one of the items
shown, and let us know what you have in mind to make it
happen, what help you will need, and where you think it
will fit on our schedule.

restaurants do I need to mention the nature of our crowd? Who
we are and who our membership consists of?

Did Nora have to explain to the restaurants what Diva is all

Thanks for taking this on, Rosada. :)

First, here's chapter and verse from the guidelines given in
the "Cpolicy" document. Your activity will, depending on the
exact circumstances, fall into either the "Major Venue" or
"Mainstream" category.

+Major Venue activities: In these situations the venue hosts
+should be advised of the type of group we are. {deletia} ...
+No commitment to special (restroom) arrangements should be
+made unless agreed in advance by the current DLV organising
+group.

That's the "wonk" stuff. Now let's talk about the real-world
planning and scheduling. Since our schedule is now "live", we
can discuss possible timeslots.

First thing you need to decide is the size/scale of the dinner
you wish to host(ess). This could be small (up to 15 or so),
larger (up to 30-50 or so), or very large, serving as one of
our maximum-attendance gatherings, in which case you'll most
likely see around 100 bodies.

A smaller gathering would probably be a "DLV Mainstream"
activity. A very large one would most likely be a "Major Venue"
type of thing, and something inbetween might fall in either
class, depending on the phase of the moon and such.

For a smaller thing you could do what both Nora and I have
suggested and that is to simply show up unnanounced, get on
the wait list if necessary, and use available tables. This
type of thing would be appropriate for an Eating Out Night
option on Wednesday or an extra-track option opposite one
of the "anchor" activities on Tuesday or Thursday.

A medium-scale thing could work as the lead-in to something
like the Limo Tour, as we've done with Trevi, a local option
opposite Night Of The Soiled Doves, or one option for Sunday
evening.

A large-scale dinner would work as either the opening or the
closing bash, should those who planned last year's affairs
choose to exercise their "right of refusal" to (not) repeat
them or a similar thing this year.

As to "spilling the beans" as to who we are, many of the
places know our group and want our business, such as Cantina
in Tuscany or Las Palmas. For a smaller dinner at one of the
places on our Big List, even if you do a reservation, there's
probably no reason to bring up the subject unless you really
feel a need to.

Please be thinking about the scale of your dinner and where
you might want it to fall on the schedule. All options are
currently open, and those who act first get the best pick! :)
