Following up:

Our primary job over the next month or so is to finish up
anything that has to do with DLV 2010.

The mailing requesting survey responses just went out this
morning. We'll follow this up with a Call For Photos mailing
this weekend, a Call For Volunteers mailing next week, a
"Rate our vendors" mailing after that, and a final summary
of all items the weekend after.

Initial response to the survey was phenomenal! As of this
time we have over 60 mostly-complete responses in, which
is the greatest early return we've ever seen!

There is one kind of perplexing issue with the survey
comments, as I've noted below.

Now is the time to begin summarizing.

Reports from those who coordinated activities will be very
much appreciated. As you will see below, some items have
already come in.

What worked? What did not work? What challenges did you
overcome to help your activity? What challenges were you
unable to deal with effectively? Lessons learned?

Personal observations on activities which you were not
coordinating, what you enjoyed, and what you think were
rough spots.

Anything from a few sentences to a book-length manuscript
will be appreciated. :)

Thanks for the various updates. We've cleared quite a few
from this list over the past few days. I'm only copying
the reports to the list that need further input or discussion.

I would say that if you are 110% ABSOLUTELY POSITIVELY
certain that they came nowhere near DLV under any conditions
or circumstances then say so.

If you just didn't happen to see them in passing, then there's

Thanks for the update, I'll adjust the count.

Plus, I'll share with you and the group something I observed
and have shared with a couple others already ...

After I left Bahama Breeze I eventually wandered over to
Paris, played a bit in the casino, and drifted toward the
dance area. The group was not obvious at first (that is a
Good Thing<tm>) and I kind of positioned myself on the
ramp on the right front of the dance area, listened to the
music and watched the people.

After a while I realized that the person standing to my
immediate right was a Paris security guard. NBD, he just
seemed to be watching the crowd. After a few minutes,
another security guard joined him and I did pick up a few
bits and pieces of their conversation. The first sentence
I picked up was along the line of "... yeah, there's a
whole bunch of them over there."

After several minutes I heard them agree "... there's
nothing to worry about ...", and one remarked that "... I'm
gonna mingle and keep an eye on things .." while the other
walked down the ramp and made a radio call which I did not
hear much of.

Oh well ... :)

Yes, I do agree that this was the best DLV of all times!

Everybody's efforts really came together and we really did
have a "greater than the sum of the parts" event this year.

As we know, some rain must fall and $#!+ happens. Let's
plan on making this one happen next year for sure.

One idea I had that may increase your turnout is to
promote this for spectators as well as actual skating
participants. I think that may help increase the level
of interest.

I think we did give this one a good sincere try over the
several years we had it. It may be one of those things
which does not generate enough interest to sustain itself.

Please, you and everyone, don't be afraid to set your limits
and say "NO" if you need to. Also, don't be afraid to ask
for help. You'll find that the response is often better
when a volunteer is assisting, as opposed to taking the
lead on something.

You zero in on two very important points here, those being
"more variety" and "more people".

Let's talk about more variety first.

I really don't think our variety of activities is lacking.

What I think we need to do, however, is to continue to think
of new and more unique activities and not be constrained to
"that's the way we've always done it" thinking.

Even our conventional and expected activities (meals, bars,
shows, etc.) have unique twists to them.

We offer variety in two ways. First, we have things on our
schedule that are of wide variety, and many of them are very
atypical of what TG events offer.

Examples would be Religious services, the Tony Curtis Book
Signing, the Hotel get-togethers, the various sections of
the Art Tour, Beginner Open House, Golf, Jam Session,
Roller Derby Boot Camp, Thrift Shop Tour, Quiet Evening At
Home, Murder Mystery, Weapon shooting, the list goes on and
on and it's truly "out of the box" in concept and in the
implementation.

Those are all things that they will not find at {fill in a
main-line TG event} and there's literally something for
everybody in there.

We offer variety in another dimension as well. On four of
our six evenings we offered multiple dining options and
multiple social options. Each attendee can pick and choose
and we don't get complaints about repetition and same-old
same-old people and pastimes.

Now let's talk about your "more people" aspect. One thing I
have to admit is that the load is not shared equally by any
means! :(

If we do a peg count, we find that 10 volunteers either
coordinated or assisted with 3 or more activities; 7 of
the volunteers were involved with 4 or more activities;
4 volunteers were involved with 6 or more activities; and
2 were involved with 7 or more activities.

This means that well over half of our scheduled activities
were coordinated by those doing three or more things.

However, if we do a peg count of only the activities which
require some kind of "busy work", such as advance contact
or negotiation with a vendor, detailed planning, handling
of money, etc., we do find that the load is more equally
shared.

Volunteer burnout is something that's much too common in
the TG community, and I must admit that I have been a
victim of it at times.

It's a vicious cycle, and we've seen it here at DLV at
times. Volunteers take on more and more, get frustrated,
get bitchy, and drop out. Yes, there are a few of you who
I am concerned about right now, as potential burnout victims.

We need to set our limits, both as individuals and as a
group. Volunteers need to feel comfortable saying "no" if
they are indeed approaching the point of overload.

We also have to set limits as a group. There's always that
call of "LONGER LONGER LONGER", but those voices go very
silent when it's time to step forward and volunteer to
coordinate nontrivial activities. The absolute silence
comes when you ask for help in recruiting additional
volunteers. :)

This year, unfortunately, I think we came close to the limit
of what our volunteer force was willing to handle. When we
asked for volunteers to help out with some very badly needed
fill-in things toward the end, it was not those who were
doing little or nothing who stepped forward, but those who
were already doing multiple things.

In moving forward, we need to encouage our new (and our
continuing) volunteers to become active, actively think of
new and different activities, and get in there and share
the load so that all can enjoy next year's event to the
fullest.

Uh, can we tawk?

I was just testing out the script which extracts and formats
the comments received on the survey answers, and I noticed
that two of you had, contrary to what I thought were very
obvious instructions, entered your name or e-mail address
in the comments.

Do we have some kind of a misunderstanding here?

I would like to know what's going on. Did you not see what
I thought were painfully obvious instructions?

In the case of the one who submitted her e-mail address,
there should have been a "trap" which displayed a very
obvious and assertive request to go back and remove it.
Was that not working?

I'm not trying to be a snot here, but I would really like
to know what's going on.
