Activity sign-up and volunteers:

I'm asking all to please read this mailing completely and very
carefully, as we're coming up on a major checkpoint at which
mistakes can cause an awful lot of misunderstandings, confusion
and grief.

Activity coordinators: Please pay particular attention to the
activity sign-up and capacity items below.

All: We are still badly in need of a few urgently-needed
volunteers. Please see items below, and consider. We're
under a time crunch on a few of these due to the sign-up
deadlines.

Two major topics this mailing:

1. Activity sign-up, filling in the blanks and testing.

2. The volunteer situation, in particular some very badly
needed volunteers for a few outstanding items.

Again, big thanks to our recent volunteers, your efforts
are appreciated.

Latest numbers:

As of Monday morning the validated total is 204 including
33 SOs.

I've just changed the projection routine to count only those
who have responded to the activity sign-up, so we won't get
any more machine-generated headcount projections until after
activity sign-up is well underway. However, as of Sunday the
projection still appeared to be converging in the 185-ish
range, which if it happens will be another record. I still do
not think that a total turnout of over 200 is at all out of
the question at all this year.

The projection numbers will be far more accurate once the
activity sign-up process has reached its midpoint or so.

Unwanted e-mail:

As a quick aside, if anybody has been receiving some very
strange e-mail which appears to be coming from one of our
long-time volunteers, please let us know as we are trying
to get to the bottom of the situation.

This time we're going to cover only the items which pertain
to activity sign-up, which does include things such as
clarifying some capacity limits.

Deadline for activity sign-up items is this coming Sunday,
and this is a hard-stop, drop-dead cut-off.

Now, let's talk about capacity ...

This is of particular importance this year.

With our very heavy registration, attention to hospitality,
and predicted record turnout, it's expected that many of the
activities which are limited in capacity will rather quickly
fill and go into a waiting list state.

Please look over this list. It contains only the activities
which will be on the sign-up screen. If you are in charge of
any of these activities, or if you have any reason to believe
that the capacity limit is wrong or unrealistic, please let
me know ASAP.

The number listed below is the number at which the "FULL"
sign will go up on the activity sign-up screen.

For those activities indicated with a capacity of "ca" (circa)
something, yes, we're aware that this is an approximate number,
but this is the number at which the "FULL" sign will go up.

For those with a capacity limit of "Open", it means that the
sign-ups will continue at any sign-up level, no waiting list,
no "FULL" sign.

Also, if you know of an activity which you think should have
a sign-up and it does not appear here, please let me know.
It is very easy to add activities before the sign-up process
is launched, but nearly impossible once it gets underway.

This is all based on the way the schedule stood on Saturday
morning.

All you really have to do is be there to catch any other
DLVers, particularly newcomers, and welcome them.

In the past, the hostesses have occasionally got the group
together to do lunch after church. If you want to do
something like this, it's fine, but not required or expected.

You could even decide on something like this in real time
during MCC's social hour following the service.

One down, a few more to go! :)

Tuesday's Eating Out Night is a particular weak spot! With
our projected turnout, all of the EON options are expected
to fill to capacity quickly.

The three options we have show a combined capacity of 70,
which is less than half of our expected in-town headcount.

The urgency of this is that if we have other options, they
can go on the sign-up screen if we get at least the preliminary
plans made prior to this coming Sunday.

If we don't have any plans for additional EON options by this
Sunday, they can go on the final schedule but they will be
on a "no sign-up, just show up" basis and we will have no
clue as to how many will be showing up.

I think we can get by with one more dining option in this
timeslot, but I would be far more comfortable with the
capacity situation if we had two more in there.

All: Please consider host(ess)ing another dining option on
Tuesday. This is where we most need help!

If we don't get any more volunteers for this by this
Thursday or so, I'm going to have to resort to a call
for additional volunteers in the general mailing. I admit
I'm kind of hesitant and even embarrassed to do so, but if
it has to be, it has to be. :(

Our second weak spot is the lack of a local Thursday HH and
dining option. There's nothing on the schedule yet and the
two venues being considered for the Pity Party do not
serve food.

I had been thinking along the line that it's no great sin
for us to do "dinner on one's own" one evening. However,
I would like to see at least a common local early-evening
HH in here for some QST for those not doing NSD or RDBC.

I have some more thoughts on this below.

Testing activity sign-up:

I would like to ask all of you to please help out with a
prelminary shakedown of the activity sign-up screens for
DLV 2010.

We currently have 32 (32 - count 'em - 32) activities which
are on our sign-up screen, which is an all-time record for
us.

This year I've simplified the verbosity and admonitions in
the header, replacing much of it with a color-coded chart
of the degrees of importance (requested, required, etc.)
of signing up.

I would ask that all coordinators of the activities for
which a sign-up is requested or required check this out
and review and QA your particular activities.

Please report ANYTHING that does not look right or does not
work as expected. If you want any substitute verbiage in
there, send it in. It's trivial to adjust it prior to the
sign-up roll-out time.

If something malfunctions, please do a cut-paste or a screen
capture of the error and send it in. If you get some kind of
arcane error message, again, please do likewise. Most errors
are easy to troubleshoot if they are reported and we have
enough information to trace through the logs.

This particular test attendee has a SO included and is
arriving Sunday and departing Thursday. This is a very
good test for such things as traps for concurrent activity
sign-up, split sign-up, and traps for signing up for
something after the departure date.

Please put it through it's paces! :) Stress it, please!

If you are so inclined, please feel free to try to elicit
errors, race conditions, database inconsistencies or even
non-recoverable malfunctions. There's nothing you can do
that we can't fairly easily un-do.

Now, if you know the system well enough to fake out your
own sign-up screen, please feel free to do so with one
caveat. On Sunday, we will be doing a final "make" on the
whole sign-up page system, and this will re-start the
sign-up database to a clear state. This means that you
will then have to re-sign-up after activity sign-up is
rolled out.

As I've said we'll start the sign-up process giving the
activity coordinators a head start. I already have you
sequestered and placed at "head of line" position prior
to the lowest roster order numbers.

No objections to doing the Bahama Breeze thing for Friday
evening and no serious alternative proposals.

Alanna, please pull the trigger. Susan has volunteered to

of this for our final major DLV 2010 get-together!

I have two thoughts on this.

1. I really hate to OD on any one venue, no matter how great or
popular it is. However, I do think that the duplication of
Firefly on Tuesday is very close to critical in this particular
case. See some thoughts below.

2. I still think it's too early to plan, or even to plan for
a Saturday pre-DLV thing. We need to go with the flow on this
at the time and settle in on one and only one announced pre-DLV
meeting spot. We can't affort to let the planning for this
distract from the effort and attention we need to spend
finalizing the plans for the main DLV activities. If the gang
wants Firefly at the time, it work, but the discussion and
decision on this needs to come later.

We don't want to move it! We need it Tuesday, badly!

Let me restate this. We need either Firefly or a good
alternate which you select on Tuesday. We can't do with
the loss of any of our Tuesday EON selections.

In fact, I was thinking of noting Firefly as the "safest"
EON option on the sign-up screen. (It is often Milano's.)

Wednesday would work. Segue' into HH and dinner at Caesars. You
can actually travel very easily from City Center to Caesars via
the Bellagio tram.
 
Thursday would also work, but the early evening plans, for
those who do not do NSD, are still very iffy at this time.
Maybe this could lead in to some kind of local HH.

Friday would also work.

Just let me know which day to move it to. (Soon!) :)

First of all, we do appreciate you volunteering.

If Tracy tells us that she needs the help, we'll get you down
as an assistant and it will qualify you for voting status.

However, Katie, that's not where we really need your help!

Something like the M Resort get-together is a low-maintenance
item which can easily be handled by one enthusiastic volunteer
such as Tracy.

Where we really need your help, far more critically, is another
area which could be equally low-maintenance. This is to
host(ess) another dining option for Tuesday. It can be as
simple as naming a place and just being there do welcome the
others and direct traffic, or it can be more formalized if
you choose to do so.

If you don't know of appropriate places, let me know and I
and the others can give you countless suggestions.

First of all, we appreciate your willingness to attend, to
socialize and to support the efforts of those who are putting
it on. It will be our second largest gathering, and we do
need to make the most of it!

I'll tell you one way which you could help out which would
be very much appreciated.

Put on your thinking cap and think of some kind of early
evening social activity for those staying in town on
Thursday, those not doing NSD or RDBC.

It only has to cover the early evening, as I think we are
well covered in the later evening with the Pity Party and
Jam Session.

This late in the game, it's probably not practical to do
any pre-planned dining activity. Unless you (or anyone)
can come up with a place by next Sunday at the latest,
we won't be able to get a sign-up or headcount, and it
will have to be no-sign-up-just-show-up. I have a feeling
that if a restaurant is named on the schedule, it will
end up being mobbed and unmanageable. :(

What comes to my mind immediately is to do some kind of
informal Happy Hour for a good dose of the Quality Social
Time that's always in demand. Something like at one of
the Sahara casino bars, such as the Thirsty Camel, or
even at a known TG-friendly place such as the PT's on
6th. and Sahara (mainstream but Tg-friendly) or Spotlight
Lounge (alternative, safe), a few blocks further east on
Sahara.

Please think about this, as early evening on Thursday is
probably our second greatest need at the time.

It would be very much appreciated if you could do this.
There should be no "busy work" required, just select a
venue and agree to be there to welcome the others.

As to the NSD situation, you're preaching to the choir! I've
let my feelings be known in no uncertain terms, and I
understand I may have ruffled some feathers in doing so. :(

I'm sure the vehicle will be something along the line of
the "Party Bus" vehicles that Bell-Trans offers. They are
quite nice, actually, plush seating, AV system, mood
lights, etc.

This is a critical drop-dead time for rolling out activity
sign-up on time. As we discussed, some adjustment of time
slots is possible, except for the fact that Tuesday evening
is ABSOLUTELY FULL and will be a very poor choice, turnout
speaking, for this.

2. Please let us know everyone who is assisting on this, so
we can get them on the list and so they get credit and
voting status.
