No comments about the suggestion to revamp the schedule
making the Ending Bash (whatever it may end up as) on
Thursday. Comments?
If anything like this is to happen it needs to happen
now, three months out, as opposed to closer to DLV.

In other news, we just broke 100 on Thursday around noon!
This is the first time in our history that we've hit the
100 validated attendee mark with returnee registrations
only! Dina Hall was lucky 100.

I would like to ask all ORG people to please read any ORG
mailings promptly over the next few days. If we're going to
get a survey going, I want to get it rolled out in the next
couple of days, and I want the verbiage to be OK'ed by the
gang here prior to launch.
Alanna has suggested that we survey the Teeming Millions
as to how they feel on the ending Formal situation. This
(a survey) was suggested by Nora last fall, but before that
happened things moved in the direction of the food-optional
affair, so that (the survey) was never done.
Please see notes and discussion below.
If there are any objections to such a survey, please raise
them promptly.
As before, things are circling back to the original IAC
proposal for an Ending Formal, food included, at a $55+
price point per person. The wind seems to be blowing in
the direction of unbundling the Pity Party from this
affair.
My concerns, as I've commented on, remain more or less
the same:
1. Capturing a meaningful majority of the in-town attendees
at the activity, such that it serves its purpose as Quality
Social Time and a max-attendance ending "Bash". My concern
is that the high price point will impact participation and
thus the overall social quality of the event as a whole.
2. The possibility of a financial bath. Two scenarios would
be undesirable. First being low sign-up for this activity
at our early April activity sign-up time. This would give
us no choice but to cancel the Formal and leave us scrambling
to implement something else for our final evening with very
little time to do so.
Worse would be a good sign-up, but a high drop-out rate and
poor show-up (or poor pay-up) rate. (My hunch is that Amy is
well aware of this possibility and will insist on some kind
of prepayment, but most likely it can occur in person during
DLV week.)

As for timing, I think either the Tuesday or Thursday
sessions would fit on the schedule. Tuesday evening would
be he obvious choice, as that's where the smaller special
interest activities are concentrated. Thursday would also
work, opposite NSD as a local option.

In particular I think it's appropriate that we re-visit the
idea of the survey.
I don't think it's practical or desirable to restrict the
survey only to the 97 (now 99) we have signed up. Many of
the potential participants for this activity have not
had the opportunity to sign up yet.
I think the best approach is a special mailing, single topic,
describing the proposed activity concisely, but in as much
detail as we can, noting the price point (~$60 pp) and
emphasizing the need for a yes/no answer WRT would they
attend. We can then analyze responses to help us make a
final decision on if we want to move forward.
Personally, I don't think we really would need much, if
anything, in the way of a program or entertainment. I
really think that the most important thing is the Quality
Social Time. Yes, entertainment or some kind of a brief
program could add to the affair, but I think it's the
social aspect that is the most important.

That's pretty much it. It's a "package" including food and

The point was that simplifying the menu may be an option,
but would not reduce the cost by any meaningful number.

A while back I took a very informal personal headcount of
those I believed I knew well enough to predict with some
degree of accuracy whether or not they would attend the
originally-proposed (food optional) ending affair. Of the
18 individuals I used in the survey, I was very confident
that 12 of them would attend, and equally confident that
the remaining 6 would not attend. Yes, most of those 18
were ORG people.
This corresponds very closely to ...

Here are the ballot numbers for the original (food-optional)
affair:
+For: 11
+Against: 7
+Abstain: 4
It was 60-some percent in favor. Nowhere near the "slam
dunks" we had with the Hotel Hostess Program and the Hard
Rock Welcome proposal, but still a margin which most
elected officials could be proud of.
I would be very hesitant, however, to use the 60% figure
as any kind of a "will show up" indicator.

Ya know, I don't recall ever hearing a definitive number
for a minimum headcount. Nora reported that Amy's H'ween
thing was attended by ca. 70, so that would be the desired
count, but my hunch is that the minimum to make something
like this fly would be 50-ish.
I would like to see a high percentage of attendees do this
activity, but I'm sure that the metric they want to see is
along the line of a paid-up body count.
Let's quickly look at some potential numbers. As of this
day, we have 100 (all returnees) signed up. Of these, the
magic formulae say that 91 of them will show. If we can
assume that we can capture a worst case of 1/3 of these
for the Ending Formal, that's 30, and I'm quite confident
that we can get at least that many from the cadre of DLV
returnees.
That means that we'll need to capture at least 20 more
from the newcomers and returnees who have yet to register
in order to make a minimum of 50.
I think these numbers are well within striking distance.
However, I would feel better about it if we had some survey
numbers to confirm this. :)

I'm really torn about the single/multi track issue for this
activity! :(
On one hand, I don't think it's fair to offer only a high
priced option as the sole featured activity for the final
evening. On the other hand I think we need to go for a
maximum-attendance single-track function for the final
evening. I'm very split on this!
There is a possibility that we will have such a numerous
turnout for DLV as a whole that we can have a successful
Ending Formal even with a second-track option competing
for the same bodies. However, I think that's only possible
under a best-case high-turnout scenario. This would, of
course, split up the group, which is what I don't want
to see on the final evening.

Amy impresses me as being very streetwise with a keen
business sense. She is also aware of how temperamental
and fickle the TG community can be. I know she is not
gonna let her firm take a bath on this.

Yes, the relationship between DLV and GB is one consideration
we must keep in mind.
All of us (DLV and GB) need to take steps to assure that
nobody gets the snotty end of the stick. If we go for this
and the sign-up rate turns out to be abysmal, we may need
to make a very hard decision.

I see the relationship between DLV and GB as being strong.
This is mainly driven from the fact that we drive a huge
amount of business their way. I daresay that DLV week is
their most busy week of the year (well, maybe the week
just before Halloween is) and they are certainly never
going to turn away any business from DLV attendees! :)
Both of us (GB and DLV) learned one lesson the hard way
back several years ago when two sessions of a planned
makeover demo had huge sign-ups, but poor show-ups. We
need to do what we can to assure that scenario will not
repeat with the Ending Formal, and yes, this will most
likely mean some kind of prepayment prior to the acvitity.
