Welcome Celebration:

This is a special mailing covering only the proposed Monday
evening Welcome Celebration.

Although we have had some good discussion regarding Suzane's
proposal, we do not have a clear consensus by any means.

We do need to give Suzane a definite answer, therefore I'm
raising a motion to accept her offer, subject to some of
the major concerns which were brought up in discussion.

Proponents? Do we have a second?

You will notice that all of the responses which appear in
this mailing have a common concern, that being the loudness
of the background music in the area we will occupy. This
has been included in the motion, and should we accept the
proposal, will be contractually stated.
. . . . . . . . . . . . . . . . . . . . . . . . . . . . . . .
Motion for consideration:

I'm introducing this motion to the floor to facilitate
a vote as to whether or not we accept Suzane's proposal.

Proponents, please feel free to second this, and if you
choose to do so, please use the words "I second" in
your response, for clarity.

(begin motion)

This motion will accept Suzane's offer to coordinate the
DLV 2010 Welcome Celebration, as outlined in her recent
proposal to the ORG group, and according to the following
criteria:

1. The Welcome Celebration will be held at the Hard Rock
Cafe - Strip, on South Las Vegas Blvd., using the third
story facility as specified, on the evening of Monday,
April 19, 2010. The exact timing and format of the Welcome
Celebration will be determined by Suzane and assistants,
and will consist of an opening happy hour, optional dinner,
after-dinner social time, and other options that Suzane
and her assistants may choose to plan.

2. That the financing for the activity occurs as offered,
assisted by voluntary "underwriters" from the ORG group.

3. All decisions and details of the Welcome Celebration
shall be made by Suzanne and assistants, subject to the
following:

a. There will be no mandatory prepayment, cover charge,
or other barrier to entry for all duly registered and
validated DLV 2010 attendees.

b. It shall be contractually noted that the loudness
of the background music in the area in which the DLV
Welcome Celebration will be held will be determined
by the DLV volunteers.

(end motion)

Do we have a second?

Thanks, Norma.

We do need to make the atmosphere comfortable for all,
and for our opening mixer we have a definite need to
have unimpeded conversation take place.

>I do understand that loud noise (some call it "music") has

>think I was born in the wrong century.

I'm not a youngster by any means, but loud music has been
an integral part of the social scene for the better part of
a century. It's really a cultural thing. In my generation
it was mostly electric instruments and recorded music, but
in my parents' generation, big bands could be very loud as
well.

>What's wrong with a string quartet?

Uh, nothing, when and where appropriate. :)

(And, I take it that you don't consider Metallica to be a
"string quartet"?) :)

We'll definitely note you as a volunteer, and I do think
that there is a possibility for helping out those who are
ready to make the plunge, but become apprehensive as the
hour approaches.

Sarona will be host(ess)ing an Open House that Monday
and that may be a great way for those who are unsure to
kind of ease into this kind of thing. The Open House crowd
could enter the WC as a group, escorted by those who are
comfortable and who volunteer to assist in that capacity.

More on this in the next mailing ...

There's been absolutely no dissention on the loudness issue!

For the main part of the affair, when we want to encourage
interaction, the music must not make conversation difficult!

>The "C" word is also becoming prominent here in a big way

I really don't see how such a Welcome Celebration in the
Hard Rock is in any way going to reek of a convention!
This will be a very classy affair in a very classy place.

The Hard Rock is mainstream with a capital M!

>I must say in defense of Suzanne that her suggestion and
>especially the coverage of the cost is a very nice gesture,
>so accolades to you Suzanne, I hope I get to meet you some day.

>This would be a really good final night thing for photo op's
>etc but again, the pre payment thing never sits well with our
>group and the large hall is a bit closeted for me anyay and
>that isn't why I do DLV..

I can say with very good certainty that the ambiance of the
Hard Rock will in no way be closeted.

However, no, the group will not be "on stage" either. Being
mainstream does not mean being conspicuously displayed for
the general public to gawk at! Anyone who wants more exposure
can always venture to one of the two lower floors.

>I hope this helps even if it isn't a vote For!

Thanks, Kate.

Choosing a venue for a maximum-attendance DLV function is
very much a balancing act. If it's too scary for those who
are new to public exposure, we have fallout on that end. If
it's in any way claustrophobic, we lose people on the other
end of the spectrum.

Hopefully the Hard Rock will be mainstream enough for those
who detest communal closets, and comfortable enough for
those who are just venturing out into the real world. :)

Thanks, Marilyn.

Your concern is echoed by most of those commenting on the
HRC proposal. The concern is such that it will need to be
part of the agreement between HRC and DLV, should we
choose to accept Suzane's proposal.

My comments on Michelle's notes:

Here are some of my thoughts regarding Michelle's notes
on the Welcome Celebration. I'll respond to Michelle's
other topics in a subsequent mailing.

>By definition the Welcome Celebration should be as early
>in the week as reasonable. It should provide and has
>historically provided one of the most significant points
>of meeting to resolve last minutes issues, ensure everyone
>is more or less on the same page as far as schedules etc
>are concerned as well as the obvious opportunities to
>meet and greet old and new friends a like.

And this is exactly what our Welcome Celebration is for.

>- Entrance has a minimal cost (less than $10.00 but ideally
>free)

I would go as far as to say that entrance NEEDS to be free
in order to assure an optimal turnout.

>- It is off strip with plenty of local parking that makes
>the venue easily accessible, especially for those who are
>new comers

The new HRC is not off-strip. However there is plenty of
parking in the area. I'm sure that HRC has valet park,
plus there is that HUGE garage behind MGM.

>- Is easy to find, not too far from the strip and
>specifically well signed.

And ... it can truly be said that the new HRC is indeed
"not too far from the Strip", as in maybe 50 feet or so. :)

>- Ambient sound (music, etc) is of a reasonable level...
>that is allows for free conversation with excessive
>voice raising

Agree, and this appears to be the issue of greatest concern
among those expressed since the original proposal was
presented.

I say again, if we go with the HRC proposal, this issue
needs to be put to bed, and we also need to communicate
to our people that the area we will occupy will have a
music level which will not discourage conversation.

Yes, the name is "Hard Rock", and that does imply LOUD,
and we will need to emphasize to our attendees that we'll
be in an area where we control the loudness level.

>I trawled through the E-mail but I can't seem to find the
>original HRC proposal. I assume we are talking about new
>HRC down near the MGM.

The original proposal and conversation on this is in the
archived mailing here:

http://www.geekbabe.com/annie/org10arc/0034.html

Yes, we're talking about the new HRC next to MGM. I have
not seen this personally, but the next time I get out to
LV (assuming I get there before DLV) I will make it a
point to stop in.

>Not sure it would meet Annies goals and objectives

It will, with reservations. The main one is the music
level which has been discussed in great detail by many
individuals.

>... if this was the first evening activity of the week
>then I think it will probably get a turnout from just about
>everyone who is in town.

This is true. Another drawing card is the fact that most of
the DLVers will be present. (Nothing attracts a crowd, like
a crowd!)

>Without having been there it's hard to determine what it
>would be like for new comers and newbies?????

I'm going to stop in the next time I'm in LV. However, that
ain't gonna happen by the time this comes up for a vote.

I'm thinking that the most intimidating part of the process
for rank newbees will be that of entering the facility, and
if we can deal directly with that issue (Big Sister escort
and such) we can work around it.

Is entering the HRC on the Strip really more scary to the
newbee than driving or taking a taxi to some neighborhood
bar at Valley View and Sirius? We have a story in our
archives of someone being scared sh*tless to walk into
Goodtimes, one of the most TG-friendly venues there is!

Anyway, Michelle, thanks for the comments. :)
