Opening night and Hard Rock:
We need comments and feedback, gang!
This is an early mailing covering one topic, the new Hard
Rock Cafe and the use of it for our Opening Mixer. (Notice
that the terms "Prom" and "Hotel" do not appear within
this mailing at all.) :) :) :)
Quite a bit of other material has come in, and this will
go out in a subsequent mailing shortly.
The first item was to be sent in our next ORG mailing,
but since the second item came in, I'm combining the
two for a special early mailing since this is indeed
a "big deal" and we need to carefully consider it.
Suzane has a proposal which needs to be considered by
the gang here.
Comments are requested, please! (Sooner the better >HINT<!) :)
Big question: Is this what we want to do?
In particular, we need to hear from those of you who are
on both ends of the spectrum, meaning those of you who
are still somewhat new to public exposure and somewhat
shy of hardcore mainstream, AND those of you who are in
the "itsgottabemainstreamoriwontgo" contingent!
I know it's long, but please read this mailing carefully.
The first part sets the scene, discusses the facility and
gives some background, and the second part is the "offer"
itself.
Suzane has been on the record in favor of using the Hard
Rock for DLV 2010 for some time now. This proposal is a
result of some homework and legwork on Suzane's part, and
come communication with others.
For those who may not be aware of this, we're talking
about a brand new recently-opened Hard Rock Cafe on the
south Strip. This is in addition to the long-standing
HRC at Harmon and Paradise.

Thanks, Suzane. I echo Nora's appreciation for your legwork
and initiative!
Yes, I have some thoughts. (Update: Most of my comments in this
item were written prior to the second item coming in.)
First, let's talk about numbers. I'm expecting the available
number of in-town people, on the day of the Welcome Mixer,
to be the same or slightly higher than we had in 2009. This
would extrapolate to a Welcome Celebration turnout of 100-115
or so providing that it's a safe and comfortable venue, and
I'm sure that HRC can meet those criteria. 80-90% of those
would consume two or more adult beverages.
If there's a limited menu or one-price-fits-all menu,
I expect that 50% or so will eat there. If it's an open
regular menu, I say that probably 65-75% will eat there.
That's the good news.
I see two deterrents to using the HRC for our opening mixer.
1. We apparently won't have a nice area in which to drink
and socialize unless we pay for the third floor room. Am I
correct on this?
2. The music level at all HRC properties tends to be loud,
at a level that it precludes convenient conversation. Even
if we were to convince the duty staff to lower it a bit,
I'm sure that other non-DLV patrons would admonish them
to "crank it", as it's expected at HRC.
Therefore I see it as a possibility, but not as a preferred
option. IMAO, it's a much better option than at any kind
of a rented hotel ballroom, but not as good of an option
as in a PTs or Blue Ox type of place.
As Nora said, I think the HRC, either the original at
Harmon and Paradise, or the new one on the Strip, would
be an excellent Eating Out Night venue for Tuesday.
For a somewhat larger affair, I also see it working as
either a more casual option opposite the Limo Tour and
preceding dinner, or as an in-town social and dinner
thing opposite Night Of The Soiled Doves.
Or ... something we've not discussed, I see possibilities
for the HRC on Sunday, either as one of several dining
options, or as an after-dinner social gathering, with
the same concerns I have about bar space and loudness
of the music.
A cover charge will not work! For our opening mixer, we
need a totally open door! No obstructions whatsoever to
attend, uh, for registered DLV attendees that is. :)

Ok, gang! There you have it! A black and white offer for
an opening mixer. Let's discuss ...
First, thanks again to Suzane for this offer. We do
appreciate it and I'm sure that we can do some things in
order to at least somewhat mitigate the expense. We can
discuss things to do to accomplish this later.
Big question, is this what we want to do? An opening mixer
in the third-floor facility of the new Hard Rock Cafe on the
Las Vegas Strip? Let's answer this question (YES or NO)
independently of the fact that one of our people will be
placing a kilobuck at risk to make it happen.
Do we want to do it?
A couple more questions. ...
First, to those who are new to public exposure. (You know
who you are, I'm sure.) :) This activity would be in a
somewhat "safe" area in what is otherwise a very public
facility. Is this "safe" enough for you? Would the trip
to the new HRC (south Strip, MGM area) and the entering
of the building be so intimidating that you might be
tempted to skip the affair?
Second, to those of you who would never be caught dead at
FanFair and go to sleep at night chanting "mainstream,
mainstream, mainstream" to yourself. (Again, you know
who you are!) :) Is this "not mainstream enough" for you?
Would you be tempted to skip the affair due to this?
I've never visited the new HRC myself yet, but knowing
other HRCs, I'm confident that the property satisfies
both the "safety" and "mainstream" criteria we desire,
but I'm not everyone.
Knowing the Hard Rock properties, this will be a very
classy place! I can say with some certainty that this
will not be the boxy "Moapa Room" at the end of a hall
in a hotel's conference center! This is the type of
facility that hosts the affairs attended by A-listers
and celebutantes, which you read about in the tabloids,
whether or not you admit to reading them. :)
In other words, it's not gonna reek of the "C-word"! :)

Now some thoughts, feelings, discussion points ...
I'm going on a few assumptions here, including ...
1. That we'll have sit-down dinner service, from the full
regular menu, in this third story facility? Is this correct?
(I seriously doubt if we will hit the 100 mark WRT those who
will eat. Close, maybe, but ...) :)
2. That we will have cash bar and/or cocktail service
throughout the activity at prices comparable to those
at their regular walk-up bar. (One hotel at which I worked
used to majorly gouge at the ballroom bars!)
3. That there will be NO restrictions on the use of facilities
and no "special arrangements" for restroom use. (We can
"request" that our people use the third floor facilities,
but not require nor enforce it.)
4. That WE determine the volume of the background music that
is present in the third-story facility.
If both the newly-out and mainstream-mainstream contingents
here are comfortable with it, and the answers to the above
questions are all "yes", then I'm comfortable with it.

Now -- as to how to recoup your $$$$$ ... I really think
that the best approach is to wait until the activity, and
give everybody time to get well lubricated, and then pass
the hat. :)
As stated before, prepayment for the Welcome Celebration,
even with the GB "payment clearing house", will not work.
Likewise, a mandatory "cover charge" for the Welcome
Celebration will present a roadblock and will kill turnout!

To clarify the timing, as we've discussed, we like to have
uniform start times if possible, particularly for meals.
Our Happy Hours usually have a posted start time of 6:00pm,
which means that the crowd really starts arriving between
6:30 and 7:00. :) Posted dinner time is usually 7:00pm, and
it historically has run a bit late. IIRC, at the Blue Ox,
they were ready to actually begin serving around 7:15.
Of course if circumstances warrant, these can be adjusted.
I don't think we should even futz around with "party menus"
and the like. Our people dislike limited menus, and when we
once did HRC (Harmon) with a "party menu" we got lots of
complaints about it. We worked around it the next time by
just showing up unanounced, camping out in the bar for a
while, and then taking available tables.
I don't think we need any "entertainment" per se. Quality
Social Time<tm> is the theme of the evening. We don't want
anything that impedes conversation. Now, dancing may be a
way to extend that Quality Social Time, but it might
backfire, meaning an increase in the music volume may
cause some who wish to continue conversing to leave.
And, thanks again to Suzane for the very kind offer! :) It
is above and beyond the call of duty but most appreciated!
