Goings-on:

The good news is that Kimberly definitely has the Blue Ox
situation under control. No cover, and a price reduction
for dinner from what was originally proposed by the Blue Ox.

See item below.

Please join me in giving a big "atta-girl" to Kimberly! :)

Some follow-up Blue Ox comments appear below. Thanks to all
for your input on this matter. I think we can say that it
has been brought to a very successful conclusion in our
favor! :)
. . .

In other news ... :(

We have one disappointing item to pass on. It appears that Mindy
will not be with us as planned. :( See item below. Golfers and in
particular golf assistants, please make note of Mindy's note
below. :(
. . . . .

Yes, it's very possible that more cancellations will happen over
the next 2 weeks or so. Yes, it's possible that assistants may
be very quickly promoted to full coordinator status with little
warning.

It's also possible that we'll call upon those who are not yet
volunteering to take over some vacated duties.

To all, if for any reason you know you will not make it this
year, please send in a cancel, either on the registration
screen or via e-mail.

We hate to see anyone not make it, but if it is to happen,
the sooner we know about it, the more easily we can work
around it. Plus, in cancelling you won't get all of those
nag-o-grams that come out every few days. :)
. . . . .

Let's review the latest numbers ...

As of this morning we have 107 individuals reconfirmed, and the
Magic Machine says that 83 of them will actually show. The
predicted fall-out percentage is less than last year due to
the fact that we have a higher percentage of returnees signed
up this year, and historically the returnees have a much higher
show-up rate than do newcomers.

My guess is that just over 1/2 of the activity sign-ups that
will be coming in are in, so it appears that the final count
is converging right on the target of 150. We'll be able to
tell more accurately as more sign-ups come in.
. . . . . . . . . . . . . . . . . . . . . . . . . . . . . . .
Laundry list:

Still short. Thanks, gang! :)

Mindy's situation:

Mindy writes:

(first-person, no quoting)

I thought everything was ok for commming to DIVA this year
until my tax guy finished my taxes. I had to shell out a
rather large sum of money to uncle sam so I won't be able
to make it.

I will still take care of the golf since I am in contact
with the golf course and they will take a payment from me
over the phone for the fees so the golfers should still
send the fees to me.

If someone who agreed to help would hostess this year it
would make things run smoother. As set up we have the
greens fees, practice range and carts set up. I will keep
everyone up to date on what is going on.
. . . . .

Thanks for the note, Mindy. :(

We do hate to see you miss this. You've had perfect attendance
since 2000! :(

Edy, Mardi, it would be best if one of you would be designated
as the on-premesis "hostess" for this. Please decide amongst
yourselves who it will be and let us know.

Also, Edy, Mardi, is there anything you need additional help
or support on? If so, let us know, the sooner the better. It
looks like Mindy has all of the "work-work" done, so what
you will have to do is just keep things running smoothly
during DLV.

Blue Ox details:

Kimberly Komplin writes:

(first-person, no quoting)

OK, here is what I have worked out with the Blue Ox.
----------------------------------------------------------
Dinner Menu (optional for those who wish to have dinner there) will be:

  House Salad with Dressings
  Dinner Rolls with Butter
  Beef & Cheese Enchiladas
  Meatloaf with Gravy
  Smoked Chicken
  California Veritable Medley
  Pasta with Meat Sauce

  Dessert
    Peach Cobbler
Ice Cream with Chocolate Sauce / Whip Cream

Price for dinner - $14.95
----------------------------------------------------------
Slot Tournament Optional for those who wish to participate
----------------------------------------------------------
Raffle for Door Prizes @ $1.00 per ticket.
----------------------------------------------------------
NO DeeJay, and no cover charge.
----------------------------------------------------------

I believe this will work out OK,
. . . . .

Thanks, Kimberly. Yes, this sounds good. I think we can
now mark this as solid. I will adjust the price on the
activity sign-up page and post a note in the general
mailing for this weekend.

As of this morning we have 57 signed up for the dinner,
and the machine says that 44.8 of them will show and pay.
Activity sign-ups appear to be between 1/2 and 2/3 done,
so as next week approaches we'll have a much better idea
of what the actual dinner turnout will be.
. . . . . . . . . . . . . . . . . . . . . . . . . . . . . . .
Sign-up status:

Activity sign-up has been open for almost 48 hours as of this
mailing. We're starting to see some significant numbers.

We got a real good jump on things with our test, and even though
activity sign-up is way late this year, I think it's going to be
smooth, or, at least as smooth as possible. My guess is that as
of this time, just over 1/2 of the activity sign-ups that are
going to come in are now in.

If you need an estimated body count for your activity, take the
turnout estimate on the sign-up report, divide it by about .57,
and you will be within the ballpark.

No big surprises. A couple activities are filling a bit faster
than I had expected, however. The Murder Mystery went into a
waiting list state Sunday evening and the Limo Tour went into
a waiting list state on Monday morning. I'm expecting the two
Tuesday restaurant-based EON options (Milano's and Joe's) and
possibly NSD to go into waiting list by this weekend.

Activity coordinators should have received reports this last
Saturday, and will receive those on Wednesdays and Saturdays
until DLV. If you need more frequent information, let me
know.
. . . . . . . . . . . . . . . . . . . . . . . . . . . . . . .
Let's review capacity:

A few sanity checks on the capacity of various activities,

If anybody wants any of these to be adjusted, please scream. :)
. . . . . . . . . . . . . . . . . . . . . . . . . . . . . . .
SO get-together:

Bob writes:

>Not definate yet, but I'm pretty sure I have a place for the
>SO get together. Thank you for keeping me updated on sign-ups
>for it.

Thanks, Bob. If you need a venue, the last one happened at
Maggiano's Little Italy in the Fashion Show Mall and was rated
very well. There was some chit-chat about having one there
this year too.
. . . . . . . . . . . . . . . . . . . . . . . . . . . . . . .
Heads up! Boat tour drivers:

Britney, Diane. In reviewing the activity sign-up situation,
both the Boat Tour and Boat Tour Breakfast have had a good
response to activity sign-up.

However, as of this morning I'm showing only ONE who signed
up who has a vehicle, and that's between the two activities!
This individual will be attending the Boat Tour Breakfast,
meaning ZERO drivers are signed up for the Boat Tour without
breakfast, second carpool departure option.

You may want to keep a close eye on this!

(OBTW, on the activity sign-up reports, volunteer drivers
are noted with the asterisk.)

Golf payment snag:

Mindy writes:

>The payment link only worked one time. The system did not
>seem to work for multiple payments. To pay just go to
>paypal.com and follow the instructions for sending money.
>Send it to mindy@mindyrussell.com

Thanks, Mindy. I've updated the sign-up screen.
. . . . . . . . . . . . . . . . . . . . . . . . . . . . . . .
Murder Mystery:

This filled up much faster than I expected. I put the "FULL" sign
up when it hit an estimated turnout of 20.

Holly, I will be sending a special report to you, most likely on
Wednesday, which gives the sign-ups as well as their e-mail
addresses. You can use this to coordinate the details.

If anybody else needs a report of sign-ups for your activity which
includes e-mail addresses, let me know.

. . . . .

Thanks to all for the feedback on this issue. I think we can
safely say it's put to bed, and came out in our favor. Again,
thanks to Kimberly for her part, and thanks to the Blue Ox
for their adjustments.
