Votes coming up:

There has been no further discussion on either the dates or the
Administrative Committee motion for one list cycle. It's time
to vote.

There will be two special "ballot" e-mails sent out to all who are
of voting status (on record for coordinating or assisting with at
least one DLV activity in 2008 or 2007) shortly. If you think you
should be of voting status and do not receive two "ballots" within
the next 24 hours, please write in and say so.

Polls will remain open until no votes are received for a 48 hour
period.

A month in advance may be unrealistic, unfortunately.

We usually start our activity sign-up around April 1, and the
responses (and changes/updates) come in until we cut them off
during the week prior to DLV.

As the sign-ups come in, we can usually get a good idea of
what the final headcount is. We should have an idea within
a week or so after activity sign-up starts.

With a minimum of 10, I'm fairly confident that you will get
at least that many sign-ups, particularly if it's on one of our
multi-track evenings with no "big gun" killer activity up
against it.

This will probably require some additional coordination in
addition to simply checking "Yes" on a sign-up screen.

What I'm thinking of is something like sending the e-mail
addresses of those who sign up for it to you, and then you
would do the correspondence and character assignment and such.

I would suggest that you "overbook" liberally, with a few
"understudy" positions, since fall-out for both showing up
for DLV as a whole, and showing up for an activity, has
always been significant, as is the case for all TG events.

Yes, and also see Mindy's suggestion below.

I'm sure that Alexis Park would love to sell you a room for this,
for three-figures, just for the room. :)

I think that if you look around, you're likely to find a place
that will let you do this in exchange for the bar/food business.

Let's see here ... pros and cons on prepayment. :)

Pros: One big one, you don't take a bath, financially! Also, it
does encourage those who signed up to show up and participate,
but it does not guarantee it.

Cons: One big one, our people absolutely **HATE** it! The rate
of follow-through for snailmail prepayment is abysmally low,
even from those who are enthusiastic at first. Payment by
credit card or service (such as Paypal) is more consistent,
but there's still a fall-out when it comes to actually paying.

Comments on activities:

There's been traffic on the Discussion Forum about the Jam
Session and the Costume Party.

It appears like Susan will be taking the lead on the Jam Session
again.

No committed volunteers (that I have on record, anyway) for the
Costume Party. Costume Party fans, time to raise some hands!

Thanks, Mindy.

We'll put both questions out for discussion in our next general
mailing, which will go out right after our date vote is final.

Holly (and all), if you don't know what/where the Artisan is,
it's a smaller hotel right by the junction of Sahara Avenue and
route 15. It's GLBT-friendly and has been on our Big List for
some time now.

Only issue with the place that I'm aware of is that it's a bit
tricky to get to.

There ya go, costume party fans. You might want to coordinate
this with Mindy if you want to roll this into the Pity Party.

>Just some ideas.

Thanks again, Mindy. :)
