Welcome DLV 2017-2018 volunteers:

This is the "kick-off" mailing to volunteers for the 2017-2018 DLV year,
which will include our annual event next spring in 2018.

You can expect the regular mailings on this list to come out every 1-2
weeks as needed, with more frequent mailings occurring just before the
2017 event and as major milestones are approaching.

If you do not wish to receive these mailings, please see the unsubscribe
information at the end of each mailing.

Everyone on this list is welcome and encouraged to contribute,
particularly as topics which need to be decided upon are raised.

We had a very successful and enjoyable DLV 2017 and we're looking
forward to planning one equal or better for 2018!

During the remainder of 2017 we'll mainly be concentrating on items
which are strategic in nature and those which should be painted in broad
strokes so to speak. Around the first of the year we'll segue into
tactical mode and fill in the details.

These mailing sometimes become long. The topics discussed are always
listed at the very top of each mailing and we always try to put newer
and more important topics toward the top of the mailings and such things
as old business, continuing discussion, brief replies, etc., toward the
bottom.

We realize that some of you use "secondary" email addresses for DLV
business which are not checked frequently. These mailings will normally
be made on Wednesday morning. Please get in the habit of checking your
inbox at least each Wednesday evening if not more frequently. Please
check very frequently in the event the activity is high and as the date
of our event approaches.

Please be sure that you note any items that are of particular interest
to you.

This year we'll be trying to concentrate the summary and discussion of

This is in progress and on target as of this time. Target date is
sometime in August.

Again this year we received over 2000 submitted photos. Thanks to all
who submitted photos this year. Thanks to our Proofread Team for QA-ing

* Discussion on various raised topics.

Age of our attendees is one of them, kind of a carry-over from last
year, and does not appear to be as hot a topic as it was last year.

One particular topic we'll be hitting on is those who feel left out of
things as our event is going on.

Affordability of our event is unfortunately one of our chronic trouble
spots and we need to continue to work on it.

Donations to support activities or multiple activities was a topic
raised during the 2017 event and will be introduced for discussion
shortly.

Name tags and check-in will be discussed yet again.

* Selection of the dates for the DLV 2018 event.

This is the biggie! This is decided upon by the ORG members with the
final decision being up to those of voting status (see below). We will
be introducing this topic in next week's ORG mailing, so please be sure
to watch those inboxes! :)

As of this time we're currently doing a review of all weeks between late
March and early May 2018, looking for such things a common conflicts,
high room rates, etc.

One very early note on this process. If you know that you will have a
conflict with any span of dates being considered for our 2018 event, it
is very important that you let us know EARLY, OFTEN, and LOUD! :)

Voting Status:

There are very few decisions made that affect our program that are made
without the consent of this group here. We try to reach a consensus on
most items, but in some cases we need to vote.

With very rare exception, there will be at least one list cycle (at
least one additional mailing to this list) between the time a vote is
announced and the vote is taken.

According to our Standing Rules, those eligible to vote are those who
are on record as coordinating or assisting with at least one DLV
activity during the past two annual events.

All DLV volunteers, regardless of voting status, are able to raise and
second motions, discuss and debate all issues, and do everything except
actually cast a vote.

A list of those who we show as having voting status for the DLV
2017-2018 year appears toward the bottom of this mailing. If you think
you should be of voting status and do not appear on this list, please
let us know NOW! Our first vote (see below) will occur very shortly.

We observe the "one person, one vote" rule, in that those who hold
multiple positions and those who have been involved in coordinating more
than one activity get one vote. Also, in the case of couples, each
individual gets a vote, as long as each has made a meaningful
contribution to activities coordinated jointly.

When a vote result is final, with one exception (see below) we always
publish the raw votes alongside a redacted Message-ID of each vote. This
way it's easy to be sure your vote was counted and it's also painfully
obvious if any "voter fraud" has occurred.

Change in personnel and Vote Of Confidence:

We have one significant change in personnel this year, subject to the
approval of the ORG group (that's you) of course.

Beverly will be resigning, in good standing, from the Project Management
Team. Beverly has been active with our program since 2010 and has
coordinated countless DLV activities, from very large to very small. We
wish to thank Beverly for her seven years of participation and service.

Cami has volunteered to assume Beverly's position, subject to the
approval of the ORG group. Cami has been active with our program since
2010 and has coordinated too many DLV activities to count! She still
holds the record for coordinating the most-attended DLV activity of all
time! Please join us in welcoming Cami to the PM Team.

This makes the PM team consist of (in order of tenure) Annie, JoAnn and
Cami. The PM team keeps the schedule, keeps things moving, and takes
care of some items which are not explicitly covered. The PM Team always
reports to and answers to the ORG group as a whole (including you),
which is the highest level of authority in our organization.

For those of you who may wish to take on a more active role in managing
our program as a whole, show us your organizational skills! Whenever a
vacancy has occurred on this team, or an additional PM was added, it was
always someone whose skills and efforts were obvious and consistent over
the years.

Toward the end of next week (not this week, next week), :) everyone of
voting status will receive a special ballot mailing for a Vote Of
Confidence on the following individuals. This is the second year we have
held such a vote and it was established last year due to raised
concerns. This year, each individual will be listed on their own line
item and each position will be listed on a separate line item. The vote
will be Yes/No/Abstain on each listed.

1. Shall Annie be retained as Project Manager?
2. Shall JoAnn be retained as Project Manager?
3. Shall Cami assume the position of Project Manager?
4. Shall Ginger be retained as Secretary?
5. Shall Annie be retained as Systems Administrator?
6. Shall Delaney be retained as Big Sister Coordinator?

Now, it should be obvious that some individuals named above are able to
view any and all material sent in to the ORG list, and thus do
technically have the ability to see exactly who voted for what (or in
this case, for whom). We've set up a system to deal with it.

For this vote, if you return your ballot EXACTLY as instructed, meaning
that you simply edit each line to leave only "Yes" "No" or "Abstain",
your vote will be tabulated automatically without the laying-on of human
eyeballs. Votes that pass this test (script driven) will not be observed
by a human unless a challenge is made. Votes that fail to pass the
script will be tabulated manually.

Also in this case, votes tabulated manually will have their Message-ID:
posted in the results but only the numeric vote totals of the votes
tabulated automatically will be listed.

A quick note about terminology:

Over the years we've informally standardized, in our notices, schedules,
various publications, etc., some of the terms and how they specifically
apply to our yearly event, primarily for the sake of clarity and for
consistency. Here are a few of the terms and the way they are intended
to mean.

Event: This is the singularity. The annual DLV "vacation" as a whole.
The event is made up of many activities.

Activity: One of the individual happenings that makes up DLV. Such
things as the Limo Tour, the High Tea, and the daily Lunch With Ginger
would be examples activities. We consider the names of most of the
activities to be proper nouns, so they are usually capitalized.

Coordinator: The primary person in charge of a particular activity. We
consider this term to be a proper noun and it's often capitalized.

Venue: The location or facility at which DLV or a DLV activity happens.

You will find that, if you haven't already, that there is quite a bit of
overlapping and overloading of these terms. :)

If you choose to use your own terminology, others will most likely
understand it unless it's not in the correct context. :)

any of these appear and are not obvious due to context, a brief list
