Welcome Back:

Happy New Year!

We sincerely hope that everyone enjoyed (or at least survived) :) the
holidays!

We are now about 12 weeks out from our big event. Our major jobs over
the next couple of weeks include making some key decisions about the
format and strategy of the day to day schedule for the coming event.

Our usual planning mailings (this is one of them) will most likely be
coming out weekly or more frequently between now and March, so we're
asking all of you to please watch the inboxes closely since there may be
some items which are time-sensitive in nature that could go out almost
any time.

We're asking all to please be sure to respond promptly if your "name is
called" in these mailings. If you need more time for anything, please
send in a quick "I will respond in detail later" note.

Thanks go out to all who have commented on our plans and, of course,
volunteered to coordinate activities. If you sent in anything to this
list prior to Monday evening and do not see at least a reference to it
in this mailing, please remind or resend. Email is not perfect, nor are
humans. :)

We are somewhat "behind the power curve" this year, meaning that at this
time in the calendar year we've usually been a bit farther ahead in the
planning process. Please excuse any assertiveness and apparent "rushing"
in our process over the next weeks and months.

Plans moving forward:

The main batch of returnee re-registration emails went out this past
Monday and registrations have started to trickle in. As of this time we
have XXX signed up to attend.

Yes, this is significantly lower than our counts at this time the past
few years, but this year the main batch of re-registration emails did
not go out until the first of the year.

If you did not receive the re-registration email (assuming that you have
not already registered for DLV 2017) please let us know. (Just reply to
this mailing and state that you did not receive it.) Or, if you want to
do things manually, surf here:

If anyone has any technical issues with registration, or notices any
errors in spelling, grammar, anachronisms, etc., please report them as

Plans are to open first time registration for members of the mailing

Southern Comfort Conference:

For those who have not heard, Southern Comfort Conference, one of the
longest-lived TG events in history, is no more. There are some efforts
to either revive it or produce a replacement, but knowing the lead times
of things like this, it's doubtful that such a replacement will happen
this calendar year.

This gives us, potentially, a larger pool of would-be attendees who
might be interested in our event.

We know that many of you are in touch with former SCC attendees and that
some of you participate in various on-line discussions which include the
SCC situation.

We encourage you to please inform those who may be interested of the
details of our event.

Please feel free to invite, reach out, etc. as you see fit. You do not
need permission to actively pursue new attendees. This includes posting
DLV information on the media which you frequent. Please go right ahead!

All we ask is that you be sure to give correct information, such as the
timespan of this year's event (March 26-31) the preferred email address
(dlv@divalas.vegas), the correct url (http://divalas.vegas/) and (sorry
to appear pedantic on this next one, but there are countless incorrect
variants being used) the correct name of the event (Diva Las Vegas). :)

Yes, this is long, but this is the preliminary schedule review and it
covers quite a bit. Please give it your attention. :)

Since the vast majority of our most-attended functions occur during the
evenings, the evening strategy needs to be number one on our plate at
this time.

We normally classify our evenings into three categories:

1. Single-track evenings, usually focused upon a large dining and social
activity.

2. "Anchor" evenings, with one featured activity and other activity
choices for those who do not wish to do the featured activity of the
evening.

3. Multi-track evenings with several smaller dining, social and
participatory activities, none of which will be featured over the
others.

We've historically had two of each of the above on the evenings of our
six-day event.

As of this minute and second, only one evening on our 2017 calendar is
"in stone" regarding which of the above is designated. Here is where
things stand:

Sunday, March 26: Undetermined, most likely multi-track.
Monday, March 27: Single-track, Welcome evening.
Tuesday, March 28: Undetermined, Anchor or multi-track.
Wednesday, March 29: Undetermined, Anchor or multi-track.
Thursday, March 30: Undetermined, Single-track, anchor or multi-track
Friday, March 31: Undetermined, Single-track, anchor or multi-track

Let's review the "big picture" evening strategy, day by day ...

Sunday, March 26: Undetermined, most likely multi-track.

Since Sunday will be a travel and arrival day for many, and quite a few
will still be absent on Sunday evening, a large single-track gathering
simply will not work. Ditto for any kind of a high-profile anchor
activity unless there's some absolutely dynamite thing going on that
particular evening which will not work any other evening.

Therefore, unless someone comes up with a major featured activity for
Sunday evening, Sunday will be multi-track by default.

We've sometimes done our first evening downtown, and a downtown-centered
evening has always worked fairly well on an opening Sunday. This (doing
Sunday downtown) is, of course, very much "in pencil" at this time.

When we've done our first evening downtown, we've sometimes had a more
"safe" option as well, for those not ready for the wide-open downtown
scene.

Monday, March 27: Single-track, Welcome evening.

Monday evening is solid! Unless something totally unexpected occurs,
such as Bahama Breeze closing (don't laugh, we've had major venues close
at very short notice over the years) we're all set.

Tuesday, March 28: Undetermined, Anchor or multi-track.
Wednesday, March 29: Undetermined, Anchor or multi-track.

We probably do not want our second major gathering on Tuesday or
Wednesday, so these will need to be either multi-track or anchor.

We've often had a multi-track evening on Tuesday of the DLV week
("Eating Out Night", etc.) but that is definitely not in stone.

Since most of the smaller activities tend to be more "portable",
regarding day of week, our "anchor" activities will most likely dictate
which of Tuesday or Wednesday will be multi-track and which will be
anchor. We do need to make some decisions soon.

If things fit, both Tuesday and Wednesday could be anchor evenings.

Thursday and Friday are both available, schedule-wise that is, for our
second major gathering.

We have Marisa down as primary for the second major gathering and Cami
as backup and/or assistant. We'll need to let Marisa and/or Cami make
the decision of the evening for the second major gathering and then let
the other one be anchor or multi.

Working schedule:

Let's go over the schedule, day by day and timeslot by timeslot (yeah, I
know this is boring and tedious, but please help us out here and go over
it with us), and get a good idea of where things stand overall.

+Sunday, March 26:

You may notice that Katie's Kozy Koffee Korner is not present on the
schedule for Sunday or Monday. This is because Katie will not be in and
about for either of those two mornings.

If anyone would like to be a Surrogate-Katie and host(ess) this on
Sunday or Monday (the greater need will be Monday), please say so. This
is a very easy one for a first-time volunteer. No busy work! All you
need to do is to agree to be there and welcome the others. It's also a
very easy ticket to voting status.

+ 11:00am: Bare Minerals Makeovers (Bare Minerals, Fashion Show Mall)

BM/BE Makeovers are scheduled each day and we plan to use the same
appointment methods we did last year, which appeared to have worked. Of
course this in no way precludes any other activities, including
"personal improvement" activities, at these times.

+ 12:00n: Lunch Without Ginger (Flamingo Buffet) - ms

For those who have been really paying attention to the verbiage, we most
likely will not be having a true Lunch With Ginger this coming year.
Ginger will most likely not be with us this year due to a conflicting
family-related issue.

This means that our daily lunch will need a host(ess) each day.

I (Annie) have volunteered to do two of the lunches and Aejaie has
volunteered to do either one or two (but I don't have the note handy),
so there's room for others who wish to host(ess) one or more sessions to
do so.

Flamingo Buffet has been used as a place-holder location, so the actual
venue will be the choice of the host or hostess. (How about YOU?!) :)

We'll also title the activity Lunch With {YOU} if you wish.

This is another relatively easy one. No busy work unless you want it,
and it counts toward voting status.

+ 3:00pm: On-site DLV Check-in (Flamingo)

(Also please see clarification about this in the next item.)

The only way we're gonna see if such a thing will work is to try it. No,
this is not intended to be high-visibility or high-profile in any way.
We have two volunteers to staff this so far and if anyone wants to take
one or more sessions, just say so. The only requirement is that you have
a working smart phone, tablet, or netbook with Internet access.

+ 10:30pm: Late Night Dancing (Paris - Le Cabaret) - ms

Late Night Dancing rounds out our evening schedule each day. I (Annie)
have agreed to host(ess) two evenings. Le Cabaret at Paris has been used
as a place-holder location. Again, the host or hostess will be able to
select another venue or title. This is another very easy one. All you
really have to do is agree to be there and welcome the others. That's
it! Yes, it counts toward voting status.

activities that we have.

We'll be working out the details of this over the next couple of months.
What we had last year appeared to be very effective. I think we're
converging on something that works well.

There are a few topics which appear to be taking up more than their fair
share of mental energy, and we want to put these do bed and not let them
"suck up all of the oxygen" so that we can focus on the more important
aspects of our programming and planning.

1. There will NOT (no, negative, nix!) be formal check-in at the daily
Katie's Koffee Korner! Period. This was never intended. Let's please
bury that rumor in Love Canal. Let's move on please.

2. The parking situation. {sigh!}

Thanks to all who have sent in various links and information regarding
the parking situation.

However (correct me if I am wrong, please) nothing which we received
includes any authoritative information regarding what will be the exact
status of parking at our suggested hotels and featured activity venues
during the dates of March 26-30. That is the information we need.

If you come upon any definite information, which is traceable to venue
management, regarding charges (or lack of same) for valet and/or self
parking during the specific days of our event at relevant venues, please
let us know.

Although this has been done mainly on the Tuesday of the week, it's just
a wee bit too soon to know if Tuesday will be our traditional "Eating
Out Night" or if this will occur on another night. The evening strategy
is one of our key decisions in the immediate future so we will know very
shortly.

If we do have the Limo Tour this year we can definitely use your help.

This used to happen most years, but we skipped it for a few years as
there were other featured "anchor" activities (EHM, KOH, etc.) which
occupied the available timeslots.

We'll count this as one vote for repeating the Limo Tour this year and
we'll surely know within the next several weeks where we stand on the
featured anchor activities.

Yes, Trevi does pair very well with the Limo Tour, and if we do that
series again this year, Wednesday or Thursday would work fine. I think
the day selection depends on whether the second major gathering will be
Thursday or Friday.

We'll probably want to avoid Friday for Trevi/Limo due to crowds and
traffic issues.

If we don't do the Limo Tour, Trevi would also make a great EON venue.

Let's discuss this ...

I know that the overall subject of check-in is not very important to
many (I daresay most) volunteers, but it is very important to those of
us who do the actual record-keeping and relatively important to the
Coordinators of any activities which need very accurate headcounts.

Let's approach this from two angles ...

1. What are our (organizer's) needs for check-in?

2. What are the attendees' needs for check-in?

Let's cover the attendees' needs first.

An in-person check-in establishes that first in-real-life contact with
the group. IMAO, an in-person check-in is far more important to a first
year attendee. It can initiate that "sense of belonging" to the group
and it also gives the attendee an opportunity to ask any nagging
questions and to clear up any concerns.

It also (if possible, and this is highly desirable) gives the
opportunity to pick up the name tag.

>From an organizer's perspective, in-person check-in gives us a definite
"yes" to the question of an attendee being physically present at our
event. It also lets us know that the individual had at least one
opportunity to ask questions or express concerns.

Historically, we've had two types of check-in:

1. In-person check-in with name tag distribution.

2. In-person check-in without name tag distribution.

You're suggesting that we add a third possible method:

3. On-line self check-in.

I can see how on-line check-in would meet most needs, both from an
attendee and an organizer perspective, for returning attendees. The one
failure to meet needs would be that of picking up the name tag.

My Big Burning Question is along the line of how many returnees would do
the actual hoop-jump, as in take the effort to do those few clicks with
a laptop or smart phone?

In the past we've discussed the idea of having attendees print their own
name tags using an image generated on line. The conclusion of each
go-round of this has always been that very few would actually go through
the motions of pulling up the image and printing it.

A related question is how many of those who checked in on line would
take the effort to pick up their name tags at a later time?

I do not, however, see on-line check-in (with no in-person follow-up) as
meeting the check-in needs of new attendees.

As for implementation, the code is now in place to flag an attendee as
present upon the first scan of the name tag QR code. This was put in
place mainly to streamline the in-person check-in and to reduce human
error. The check-in host or hostess would simply scan the tag as it is
given out. The attendee could, of course, do the scan personally. Of
course we have a certain number of people who do not have smart phones,
and, as we've found out, a number who have smart phones but do not know
how or do not have the application installed to do QR codes.

My guess is that it would take less than 1/2 hour of coding time to add
a "Check In On Line" button to the Attendee Information Portal. This
would simply set the "present" flag in the ppant record, same as is done
when the QR codes is scanned, or is done at the end of the event when
the sign-in sheets are reconciled.

It's very do-able if the need is there and if we think people will use
it. (It may be the case that the only way to find out is to try it.)

Uber/Lyft:

I do ferry people if I find that they are going to the same event. But
if they want to leave at a certain time or go somwhere after, and I
can't, they will have to find their own ride.

This situation plays across all modes of transportation. I think it's
best to make basic transportation suggestions and let people work it out
themselves.

Let's discuss this as well.

I think that everyone is in agreement that it will be a Good Thing{tm}
to encourage our attendees to use (and share rides with) Uber and/or
Lyft. Any downsides, please speak now or forever hold it.

For those who already use Uber/Lyft, and are confident doing so in their
chosen mode, that's just peachy. Done deal!

I have a few real-world Big Burning Questions about this.

First, how many of our people (who do not use Uber/Lyft) will do the
hoop-jumping to join?

Will there be any shyness issues? I've been told that Uber no longer
shows the driver the first name nor the phone number of the passenger.
Lyft supposedly gives the driver the first name and last initial.

I am most concerned about getting people out and about and accustomed to
things during the first few days of the event, and in particular getting
a maximum turnout to our first major gathering.

Would it be worth our effort to try to do some kind of "Uber Car Pool"
type of thing between Flamingo and Bahama Breeze on Monday evening?
