Welcome volunteers:

Welcome to all volunteers, new and returning.

This is the DLV Organizational mailing list, which we call DLVORG,
and you can expect mailings to come out as needed, probably
beginning about every week or so, then easing off to every 2 weeks
or so during the slow months, then picking up as we approach the
dates of DLV 2009.

Our job is to plan and implement the next DLV event, in the spring
of 2009.

For those who are new to the DLV volunteer scene, please feel
free to jump right in, add to the discussions, propose ideas
for activities, etc.

We try to make decisions by consensus, but if there's no consensus,
we make a motion and vote, using a kind of modified "Roberts"
on-line method. Those eligible to vote are those who are on record
as coordinating or assisting with at least one activity during the
last two DLVs. An updated list of those of voting status appears
below.

All of you here, regardless of voting status, may fully
participate in the discussions and are free to propose
activities, etc., and, of course, volunteer for specific
functions.

One important thing to remember in the ORG group here is that it's
ok to agree to disagree. We do have quite a diverse group here,
representing all points on the TG spectrum and then some.
Differing views are encouraged, and playing devil's advocate is
cool. Just remember to respect each individual as a person and
their point of view as being valid from their perspective.

New and different ideas are always welcome. If you have something
in mind that you think DLV people would enjoy, put it on the table,
even if it's something really out in left field. As all of you
know, some of our activities are most certainly atypical for a
TG gathering.

In most all cases, those who volunteer to plan and implement a DLV
activity are the decision makers regarding that activity. Of course
the group as a whole has the final say on what activities will and
will not appear on the schedule. We work as a group to combine the
activities into the most effective format and schedule.

Organizational changes:

We would like to make the position of Project Manager, which was
held by me (Annie) through 2006 and by Aiko for 2007 and 2008,
a rotational position with a one-year term.

Aiko has stated that she wants a break.

I (Annie) have agreed to take the position for DLV 2009 and
Aiko will then re-assume the position for DLV 2010.

Neither Aiko nor I will be taking this position for DLV 2011,
and at that time it's somebody else's turn. Please be thinking
ahead on this, as we will be seeking a Project Manager for
DLV 2011 and will want to get that person familiar with what
the position requires prior to that time.

This is, of course, subject to the consent of the voting
members here. If anyone believes that this needs to be put
to vote, please say so and I'll enter a motion to do so.

Our do-it list:

Here's a quick summary of what we need to do over the next
several months.

Immediate items:

1. Any additional summarizing, rehashing, finalizing, etc. of
the 2008 event. What worked, what did not, lessons learned, best
practices to use when going forward, etc.

2. Discussion and setting of the DLV 2009 dates. See below.

3. Any administrivial or other matters which may take time and
need discussion, which should be done during the "slow" season.

Near-term items:

1. Nominating and voting on suggested hotels for DLV 2009.
This is normally done during the fall, with the hotels being
announced in early December.

2. The rough blocking-in of the schedule for DLV 2009.

3. Discussion of activities, large and small, for DLV 2009.

4. Any non-activity business which may distract from the planning
of the event, and therefore needs to be taken care of during the
slow months.

Are we missing anything? If so, please speak up.

Here's a quick list, compiled from the volunteer responses, of

they would like to coordinate.

this list. This is only the individuals who volunteered or
re-volunteered following the survey response.

This will give us a good starting point, regarding who is
interested in coordinating what.

Our standing rules state that those who are on record as
coordinating or assisting with any DLV activity during the
past two events are eligible to vote.

In updating the list of the electorate for the 2008 event,
here is who we show as having voting status.

If you don't see your name on the list, please don't feel
left out. You're most welcome to participate in the planning
and discussion, and to volunteer to coordinate an activity.
Once you have coordinated an activity, you're added to this
list.

Please look over this list. If you coordinated (or assisted
with) a DLV activity in 2007 or 2008 and do NOT appear on this
list, please let us know.

Dates for DLV 2009:

This is our first order of business for the 2009 year.

One of our first jobs is to propose the dates for the 2009
event.

The floor is now open for your comments and discussion. For
those who are new, all you have to do is reply to this mailing.

Historically we've announced our proposed dates around the
first of August, opened a one-month "call for comments"
discussion period, and then finalized them around the
first of September.

Unless there's a significant reason to do otherwise, that's
what we want to do again this year.

Related to the timeframe, of course, is the length of the
event.

By precedent, DLV has always occurred in April or May, therefore
I do not think we should consider any timeframes prior to April
or after May.

There are many factors to consider, such as dates which tend to
have conflicts with family or religious commitments, the weather,
crowds in Las Vegas, hotel prices, etc.

Let's discuss some possible timeframes ...

As Tina would say, let's round up the usual suspects, meaning
the dates that might cause conflicts and spoil the turnout.

Palm Sunday is April 5
Passover is April 9-15
Easter is April 12
Mothers Day is May 10
Memorial Day is May 25

Looking at the LVCVA calendar for April and May of 2009, here are
all events scheduled so far which are expecting 10000 or more
attendees. These are really the only ones that will cause room
rates to rise, and of these, only the NAB convention is a major
deterrent.

International Carwash Association, April 2-4, 10000
NAB, April 18-23, 115000
International Hardware Show, May 5-7, 50000
Recon/ICSC, May 18-20, 50000

California Dreamin, IFGE, and EnFemme Getaway often occur in the
same general vicinity of the calendar as does DLV. My last check
of the web sites shows no dates announced in 2009 for any of the
three -- yet.

This year I'm not including the Laughlin River Run in our list
of conflicts, as our one longtimer who had an issue with this
is no longer active.

The first full week of April is therefore bad due to countless
family conflicts.

The second full week of April begins on Easter, spans most of
Passover, and ends on the weekend which NAB begins. It's probably
not the best choice either.

We want to avoid the third full week of April since it's the
NAB Convention (now the largest in LV) and that means crowds
and astronomical room rates.

We are enjoined from Mothers Day (May 10) and the two days prior
(May 8-9) by standing rules.

Using a process of elimination, I see the following timeframes
as possibilities:

1. Sunday, April 26 thru Friday, May 1.

2. Monday, April 27 thru Saturday, May 2.

3. Monday, May 11 thru Saturday, May 16.
. . .

As to the length of DLV, yes, there is always a calling to make
DLV longer and longer and longer, but here in the real world, I
think we need to stick to a 6-day event. We did ok this year as
far as the overall richness of our schedule, but we had some
weak evenings. I think we need a year or two of consistently
strong schedules before we consider expanding DLV to 7 or more
days.

The question of the weather always comes up. Yes, the weather
is one factor to consider, but it cannot trump all others.

Some have the idea, and bring this up regularly, that if we
move DLV 1-2 weeks earlier the weather is bound to be ideal,
and if it's 1-2 weeks later we're bound to melt.

Having grown up in the family of a meteorologist, I do know
that it's a crapshoot no matter what. The short-term variance
is far more significant in determining the daily temperature,
wind, precipitation, etc. than are the averages.

In light of all factors, I'm suggesting we look at the period
of Sunday, April 26 thru Friday, May 1 as a possibility for
DLV 2009.

Yes, this is Sunday thru Friday.

Why Sunday thru Friday?

First of all, it introduces some variety, forces us to refrain
from simply using the 2008 schedule as a starting point for the
2009 schedule. There were comments both during DLV and on the
survey that we're starting to become repetitive, and I must
admit that quite a bit of DLV 2008 resembled a rewind-replay
of DLV 2007.

Also, it allows the attendees, if they choose, to do the entire
six days of DLV on weekday room rates, with a Sunday check-in
and Friday check-out. Yes, the past few years we've seen a mini
exodus on Friday, with increasing room rates cited as the
reason.
